Position Summary: The Docent and Volunteer Manager (DVM) is responsible for the management and maintenance of the Docent and Volunteer Programs. The DVM is responsible for collaborating with departments across the Museum to schedule volunteers and docents as needed; recruit and address the needs of docents and volunteers within the Museum; work to expand the diversity of both groups; and maintain a schedule for ongoing training, so docents and volunteers are informed and effective. The DVM will be an inclusive manager and mentor of the highest integrity, with the ability to lead, motivate, inspire, and unite docents and volunteers around a shared vision. Through their work, the DVM supports efforts to achieve the Museum’s strategic goals.

Requirements

  • Associate degree or equivalent is required
  • Minimum of three years relevant/applicable people management and administrative experience. A background in HR is a plus.
  • A genuine passion for the Museum’s mission and the ability to foster relationships with docents and volunteers
  • Excellent communication skills including verbal, written, active listening, and presentation skills.
  • Positive attitude, flexibility, team-oriented, attention to detail, results driven and demonstrated initiative. A good sense of humor is appreciated
  • Effective problem-solving skills.
  • Excellent time management and organizational skills.
  • Proficiency in MS Office (Outlook, Word, Excel, and PowerPoint) and various databases, including Altru and Volgistics.
  • The ability to attend evening and weekend events, including some Saturdays and Fridays when needed.

Nice To Haves

  • Background in art history and/or museums appreciated.
  • Spanish language skills are a plus but not required.

Responsibilities

  • Serve as the main contact between staff, docents, and volunteers.
  • Recruit, screen, and orient new volunteers (as needed) and docents (every other year), developing and applying strategies for reaching diverse applicants.
  • Maintain and update the Volunteer Handbook annually; add addendums as needed.
  • Maintain the Volgistics schedule and database to ensure consistent scheduling and reporting.
  • Compile Museum news, reminders, and information and send Weekly Updates to all docents and volunteers.
  • Plan and manage training schedules for docents and volunteers, coordinate training with staff.
  • Evaluate docent and volunteer programs annually; observe and evaluate individual docents and volunteers as needed; provides Chief Officer of Learning and Community Engagement (COLCE) with reports regarding docent and volunteer programs.
  • Monitor surveys and feedback about tours for adult audiences, share reports with COLCE.
  • Manage and maintain the Docent Portal database, resources, and calendar of events.
  • Serve as a liaison with the Docent Advisory Council.
  • Schedule and lead weekly interdepartmental meetings to review upcoming docent and volunteer schedule.
  • Maintain calendar of docent education sessions and Volunteer Assemblies in Outlook and Volgistics.
  • Participate in Operations meetings and LCE Department staff meetings.
  • Coordinate and host one luncheon and one reception for volunteers and docents per year.
  • Perform other duties and responsibilities, as assigned.
  • Complete staff and management trainings as assigned.
  • Provide and train staff on procedures regarding docents and volunteers, including requesting and training expectations.
