About The Position

Orthopaedic Specialists of Austin is hiring a full-time DME (Durable Medical Equipment) Assistant in Austin, TX. The DME Assistant supports the daily operations of the orthopedic bracing and supply program under the direction of the DME Coordinator. This role assists with inventory management, brace fitting, documentation, and charge entry while providing excellent customer service to patients and clinical staff. The DME Assistant plays a key role in ensuring accurate tracking of equipment, supporting patient education on product use, and maintaining organized documentation to facilitate insurance billing. This position will be required to travel to OSA’s satellite locations for additional clinic coverage.

Requirements

  • High school diploma or equivalent required.
  • 0–2 years of experience in a healthcare, orthopedic, sports medicine, or customer service setting preferred.
  • Strong attention to detail and organizational skills.
  • Basic computer proficiency (MS Outlook, Word, EMR systems, and internet use).
  • Willingness to learn orthopedic bracing products and related procedures.
  • Strong communication skills, both written and verbal.
  • Ability to follow direction while demonstrating initiative and reliability.
  • Attention to detail with a focus on accuracy in documentation and data entry.
  • Ability to manage multiple tasks and adapt in a fast-paced clinical environment.
  • Team-oriented mindset with a commitment to patient care and service excellence.

Nice To Haves

  • Exposure to medical office workflows or durable medical equipment is a plus but not required.
  • Experience with casting and splinting techniques preferred.

Responsibilities

  • Assists with fitting orthopedic braces and supplies and provides basic education to patients on proper use, as directed by the DME Coordinator.
  • Supports inventory management by stocking supplies, monitoring par levels, and reporting discrepancies or needs to the DME Coordinator.
  • Assists with tracking all DMEPOS dispensed daily, including documentation and charge entry.
  • Prepares and organizes necessary paperwork for insurance billing, ensuring accuracy and completeness.
  • Supports the pre-authorization process by gathering required documentation for Worker’s Compensation and commercial payors.
  • Collects patient payments including co-insurance, deductibles, and cash payments as applicable.
  • Assists in maintaining accurate records related to claims, denials, and follow-up items in coordination with the billing department.
  • Provides excellent customer service to patients, physicians, and staff in accordance with company standards.
  • Maintains cleanliness and organization of DME areas and equipment.
  • Performs other duties as assigned by the DME Coordinator or clinic leadership.
