We’re actively seeking a talented Division Executive Administrative Assistant to join our Corporate Division to support the EVP & General Counsel in Newport Beach, CA. This is a hybrid role. Days in the office will align with the General Counsel’s schedule.

Requirements

  • 5+ years supporting C‑level executives in a corporate environment
  • Strong MS Office 365 skills (Excel, PowerPoint, Teams, Outlook) and Adobe Acrobat
  • Excellent editing, proofreading, organizational, and time‑management skills
  • Ability to work independently, prioritize, maintain confidentiality, and exercise sound judgment
  • Strong written and verbal communication skills

Responsibilities

  • Anticipate executive needs, obstacles, and opportunities; act and plan accordingly
  • Organize and manage executive calendar and meetings using Outlook
  • Handle highly sensitive and confidential matters with discretion
  • Serve as point of contact for internal and external stakeholders
  • Prepare correspondence and documents with strong written communication
  • Arrange domestic and international travel; manage expense reports (Concur)
  • Receive and respond to calls/emails professionally
  • Take executive meeting minutes and prepare summaries
  • Provide forward-thinking event planning for functional events
  • Partner with and provide backup support to other Executive Committee admins
  • Complete special projects and miscellaneous tasks as assigned
