Job Overview The Dispatcher, under the direction of the Operations Manager, coordinates and schedules daily fleet operations to ensure efficient and timely delivery of service. Responsibilities include dispatching drivers and vehicles, communicating with drivers, customers, and operations staff, monitoring schedules and vehicle locations, resolving service issues, assisting with route optimization, and preparing basic operational reports using radio, phone, and computer systems. Requirements

  • 3+ years of dispatch experience, preferably in waste management or transportation.
  • High school diploma or equivalent; logistics/transportation training or certification is a plus.
  • Detail-oriented with strong organizational and time-management skills
  • Strong computer skills in Microsoft Office applications
  • 2+ years of customer service experience.
  • Strong understanding of transportation management systems (TMS) and routing software (Samsara or Roadnet preferred)
  • 1+ year experience reporting financial or operational data to management.
  • High School Diploma/GED or equivalent required and a minimum 2-3 years of experience dispatching service calls, preferably across multiple states.
  • Experience using dispatch or routing software.
  • 1-2 years of customer service experience.
  • 1-2 years of experience reporting financial information to management.
  • Intermediate to advanced proficiency in Microsoft Excel and Word.
  • Knowledge of FMCSA and DOT regulations, including driver qualification and hours of service requirements.
  • Excellent interpersonal and communication skills.
  • Strong troubleshooting and problem-solving abilities.
  • Ability to work independently and as part of a team.
  • Highly motivated, positive attitude, and self-starter.
  • Ability to handle multiple assignments and prioritize tasks.
  • Primarily a sedentary role; must be able to lift files up to 25 lbs., open filing cabinets, and bend or stand as needed.

Nice To Haves

  • Experience and/or education may be combined to meet the minimum qualifications.
  • Experience monitoring driver safety performance and managing driver files and regulatory documentation preferred.
  • Bilingual (English & Spanish) preferred.

Responsibilities

  • Coordinate daily dispatch operations across multiple states using routing and dispatch software to ensure timely service delivery.
  • Communicate assignments and real-time updates to drivers, supervisors, and field inspectors via phone, radio, and digital systems.
  • Plan and optimize daily routes and work orders to improve efficiency and meet customer service requirements.
  • Manage high-volume customer calls, scheduling services and resolving inquiries in a fast-paced environment.
  • Monitor driver and equipment locations to maximize productivity and maintain service schedules.
  • Maintain detailed records of dispatch activities, customer requests, and services performed.
  • Compile operational reports and analyze service data for management review and decision-making.
  • Enter and track mileage, routing data, and service information in spreadsheets and databases.
  • Process accounts payable invoices and verify third-party billing accuracy using accounting software.
  • Review customer accounts and maintain accurate financial and operational records.
  • Ensure compliance with Federal Motor Carrier Safety Administration (FMCSA) and U.S. Department of Transportation (DOT) regulations, including monitoring driver qualifications and Hours of Service documentation.
  • Monitor driver safety performance and partner with management to address compliance or performance concerns.
  • Coordinate with management to resolve regulatory issues and ensure safe, legal fleet operations.
  • Perform administrative tasks and support special operational projects as needed.
