About The Position

We are seeking an experienced Commercial & Industrial HVAC Service Dispatcher / Scheduler to join a growing service team in Mokena, IL. This role is critical to daily operations and acts as the communication hub between technicians, customers, and internal leadership. The ideal candidate is highly organized, calm under pressure, tech-savvy, and understands the fast-paced nature of commercial/industrial HVAC service work. This is an in-office, full time position with consistent daytime hours and no weekend scheduling.

Requirements

  • 3+ years of experience as a dispatcher or scheduler in HVAC, mechanical, commercial service, or a related trade
  • Experience dispatching commercial and/or industrial service technicians
  • Hands-on experience with service software such as: ServiceTrade ServiceTitan BuildOps or similar field service management platforms
  • Strong organizational and time-management skills
  • Ability to multitask and remain composed in a fast-paced environment
  • Excellent communication skills (phone, email, internal coordination)
  • Comfortable working with technicians and understanding field-service workflows
  • Proficient with computers, scheduling systems, and basic office software

Nice To Haves

  • HVAC or mechanical trade knowledge
  • Experience supporting contract/service agreement customers
  • Familiarity with dispatching for union or large commercial accounts
  • Experience coordinating after-hours or emergency service calls

Responsibilities

  • Schedule, dispatch, and coordinate commercial and industrial HVAC service technicians
  • Prioritize service calls based on urgency, contract obligations, and technician availability
  • Monitor technician schedules throughout the day and adjust in real time as calls change
  • Communicate clearly with customers regarding scheduling, arrival times, and updates
  • Enter, update, and maintain service calls, work orders, and customer information in service software
  • Work closely with service managers, technicians, and office staff to ensure efficient workflow
  • Track job status, technician productivity, and completion of service calls
  • Assist with emergency service coordination when needed
  • Maintain accurate records and documentation
  • Provide professional, friendly customer service while managing multiple priorities
