Reports to: Transportation Manager Job Status: Full-Time/ Hourly Department: Transportation Mobility Profile: On Location General Expectations: This position is responsible for processing the paperwork to assist with scheduling deliveries of our homes. This position requires great interpersonal, communication and negotiating skills in relating to Independent Transportation Company Managers and personnel, Community Managers, Drivers, Production Team, Sales Team, A/R Team, Field Operations Team, QA, and the Retail Customer.

Requirements

• Strong attention to detail and excellent organizational skills.
• Clear, professional communication skills with the ability to follow up, resolve issues, and provide outstanding customer support.
• Proven ability to manage transportation‑related inquiries and coordinate delivery timing while supporting inventory control objectives.
• Proficient in Microsoft Office; experience with AS400 and SharePoint preferred.
• Comfortable working with multiple computer systems in a fast‑paced environment.
• Passion for delivering world‑class customer service.
• No travel required.

Nice To Haves

• Experience in Transportation or Dispatch is a plus

Responsibilities

• Prepare, assemble, label, and stage driver packets, including confirmation and change orders.
• Process house invoices in AS400 and email invoices after shipment.
• Review freight charges prior to order serialization, document additional charges, and pay freight invoices using AS400 and driver pay spreadsheets.
• Plan and coordinate shipments in OTM, including obtaining freight quotes and maintaining the freight book.
• Update and distribute yard status reports and shipping analysis spreadsheets; revise reports when homes come offline.
• Ship homes in AS400 and enter confirmation orders into yard status reports.
• File house folders, transportation paperwork, and invoices; assemble banker boxes as needed to support file storage. Order office supplies as required and provide coverage for the manager during absences to ensure continuity of operations.
• Works with vendors to ensure freight books are accurate and as up to date as possible
