About The Position

Lighthouse Lab Services seeking a highly organized and professional Dispatch Coordinator to support and coordinate our field service operations. In this role, you’ll be a central point of communication between clients, Field Service Engineers, third-party service vendors, and internal teams to ensure installations, repairs, and preventative maintenance are scheduled and completed efficiently. This is a great opportunity for someone who thrives in a fast-paced, detail-driven environment and enjoys being the hub that keeps operations running smoothly. This role is hybrid in Carrollton, TX, and is a Monday-Friday 9am-5pm CST shift.

Requirements

  • High School Diploma or GED required
  • Minimum of 3 years’ experience in an administrative, dispatch, or clerical support role within an office environment
  • Equivalent combinations of education and experience will be considered
  • Exceptional professionalism and customer service mindset
  • Strong organizational, time management, and multitasking abilities
  • Excellent written and verbal communication skills
  • High attention to detail and accuracy
  • Ability to use sound judgment and escalate issues appropriately
  • Strong computer skills, particularly with Microsoft Word, Outlook, and Excel
  • Comfort working with confidential information
  • Ability to work effectively with clients and team members at all levels
  • Ability to perform well in a fast-paced, deadline-driven environment
  • Flexibility and willingness to adapt as priorities change

Responsibilities

  • Schedule and coordinate Field Service Engineers and third-party vendors for service activities, including installations, de-installations, preventative maintenance, repairs, training, validations, and remote support
  • Communicate with clients and internal teams to prioritize urgent service needs and project timelines
  • Manage incoming client emails, calls, and service cases to ensure timely follow-up and resolution
  • Prepare service estimates for client approval and generate sales orders when required
  • Monitor and manage service tickets using tools such as Slack, Monday.com, and NetSuite Shepherd
  • Coordinate and verify third-party vendor contracts and instrument support agreements
  • Review renewal contracts and sales orders to ensure accurate instrumentation and client details
  • Maintain and track preventative maintenance schedules
  • Work cross-functionally with Sales and Accounting to support billing and service-related account needs
  • Close out service tickets by collecting billable expenses, vendor reports, and sending customer satisfaction surveys
  • Complete required company training and assist with additional projects as assigned
