About The Position

We are seeking a highly organized and proactive Dispatch Administrative Assistant to join our operations team. This role is critical in ensuring smooth coordination of labor, equipment, and materials across multiple offsite projects. The ideal candidate thrives in a fast-paced environment, demonstrates exceptional communication skills, and has a strong ability to manage competing priorities.

Requirements

  • High school diploma or equivalent (Associate's degree or related certification is a plus).
  • 3+ years of experience in an administrative support role (preferred).
  • Previous dispatch or scheduling experience (preferred).
  • Strong organizational and time management skills with attention to detail.
  • Excellent problem-solving and analytical abilities to resolve scheduling conflicts.
  • Proficiency in Microsoft Office Suite and ability to learn new software quickly.
  • Ability to multitask and perform under pressure in a fast-paced environment
  • Customer-focused with a commitment to providing outstanding service.

Responsibilities

  • Scheduling: Assisting with the coordination of labor, equipment, and materials for various offsite projects using LMM's scheduling software.
  • Planning: Assist in managing the scheduling for upcoming projects based on award timelines, ensuring resource availability including the collaboration with estimators and project managers to fulfill equipment and labor demands.
  • After-Hours Support: Occasionally handle after-hours calls to dispatch personnel and manage off-shift work.
  • Asset Tracking: Monitor and track company assets by project and location using scheduling software and GPS asset management systems.
  • Change Management: Respond to internal calls regarding project changes, new projects, or change orders, and update schedules accordingly.
