About The Position

The Director of Property Maintenance and Projects is responsible for directing all maintenance-related activities, custodial and cleaning efforts, ensuring equipment and building safety systems. The Director will ensure building systems are at optimal functioning capacity within the facility through coordinated repairs, regularly scheduled preventative maintenance, and regular inspection of facilities. The Director will maintain a good working relationship with the branch staff, janitorial service company and other vendors. Specific duties will include coordinating and completing repairs, preventative maintenance and safety issue resolution, directing the Association’s janitorial service company, outsourcing maintenance staff as needed, staff development and supervision, as well as some administration, payroll, and fiscal management.

Requirements

  • Associates degree in Construction Management, Project Management, Business or related field (or equivalent experience).
  • 3-5 years managing facility maintenance and/or construction projects
  • 3-5 years supervisory experience.
  • ability to understand, Building systems, energy management software, interpret and analyze blueprints, schematics, layouts, wiring diagrams and equipment specifications
  • ability to read, understand and interpret documents such as safety rules, and operating and maintenance instructions.
  • You must have the physical, visual, and auditory ability to perform the essential functions of the job with or without reasonable accommodations.

Responsibilities

  • Preventative Maintenance & Safety Inspections
  • Maintenance standards
  • Staff supervision and budget management contributes to a quality member and staff experience as measured by SEER and internal surveys.
  • Assists with the development of repair and replacement schedules focusing on efficiency and productivity.
  • In association with the VP of Properties and Facilities, develop the annual repair and replacement schedule for the assigned branches during their annual planning cycle.
  • Facility Corrective Maintenance
  • Responsible for managing the YMCA’s Facility services technicians to make sure building repair standards are met.
  • Review daily, all new maintenance work requests requested posted on Facility Dude.
  • Work closely with the facility dude admin assistant to monitor Maintenance edge tickets and dispatch crews in an efficient and timely manner planning work in a pre-planned schedule to maximize crew travel, efficiency, and productivity.
  • Inspect all branch facilities monthly.
  • Resolve all open custodial tickets that are over 14 days old or on hold awaiting bids or parts.
  • Association Custodial Services
  • Responsible for partnering with the YMCA’s custodial vendor to make sure custodial standards are maintained.
  • Review daily, all new custodial work requests requested posted on Facility Dude.
  • Work closely with the facility dude admin assistant to monitor tickets.
  • Inspect with the custodial vendor all branch facilities monthly.
  • Resolve all open custodial tickets that are over 10 days old.
  • Preventative Maintenance & Safety Inspections - Develops and manages monthly facility inspections for branches to ensure high quality care, cleanliness.
  • Research, evaluate, and implement branch facility maintenance standards according to Cal OSHA, manufacturer requirements and industry standards to maintain branch and equipment in excellent working order with minimum downtime.
  • Compile a branch technical library, building information book, and inspect same for use.
  • Coordinate with technician (s) to complete Quarterly equipment maintenance and initiate repairs with outside contractor if beyond department’s technical ability.
  • Outsourcing Management
  • Responsible for evaluating performance of outsourcing partners in projects and repairs and maintenance activities.
  • Responsible for ongoing and frequent evaluation opportunities by developing and managing outside vendors and reported feedback from Executive Directors.
  • Staff Supervision and Development
  • Recruits, trains and supervises building engineers.
  • Manage the janitorial and cleaning related services.
  • Maintains a good work relationship with the janitorial supply company.
  • Oversees janitorial and cleaning related orders and ensures Association standards and specifications are met.
  • Manages safety aspects of facilities.
  • Ensures safety requirements and procedures are adhered to by the janitorial service company, maintenance staff, and vendors.
  • Fiscal Management
  • Builds branch maintenance, safety, & custodial budgets.
  • Oversees the development of branch maintenance and repair & replacement budgets and provides research and guidelines regarding cost indices for janitorial & cleaning services, utilities, vendors, and materials.
  • Administration
  • Maintains records keeping of work orders and projects.
  • Completes timely and accurate reports for all areas of responsibility.
  • Maintains all records as pertains to safety and janitorial services of each branch assigned.
  • Project Management:
  • Develop, supervise and manage Association-approved renovation plan(s).
  • Receive, authorize, prioritize and delegate project requests.
  • Communicate details of capital reinvestment/renovation plans to Branch and Association leadership to include timely project scheduling.
  • Develop and manage capital reinvestment budget; meet budget targets as approved.
  • Work with VP of Property, Facilities to develop five-year goals that support making our branches member-friendly.
  • Negotiate minor contracts with vendors related to approved renovations as well as manage the RFP process.
  • Oversee and inspect the work of contracted skilled tradespersons.
  • Sign off on all project final inspections.
  • Report all contractor performance/workmanship issues to supervisor.
  • Keep project records and prepare required reports.
  • Prepare or participate in preparation of specifications for materials and equipment required.
  • Consult with outside authorities and agencies regarding facility maintenance and environmental issues.
  • Attend staff meetings and trainings as required.
  • Uphold YMCA policies for safety, supervision, mandated reporting and risk management.
