About The Position

Tellos helps BCBAs run independent, high-quality ABA practices without drowning in operations. This role exists because operations is now the bottleneck to growth. Your job is simple to state and hard to do: make it easy for families to start care, easy for providers to deliver care, and easy for the company to scale. You will own the operational system end-to-end - from referral to first therapy day - and turn a complex, human-heavy business into something reliable, fast, and repeatable. What You’ll Own 1. End-to-End Operations You own the full operating chain: Outreach → intake → assessment → authorization → staffing → scheduling → therapy start Credentialing and RCM Operations: create end-to-end workflows, SOPs, and set them for scale (especially as we transition in-housing these functions). where things slow down, break, or silently fail Fix them permanently and scalably, not bandaid or unscalable solutions. Margin visibility & cost control: You don’t manage finance, but you make it clear where money is made, lost, or leaked operationally. If a client waits too long, a provider gets frustrated, or hours don’t convert to revenue - that’s a problem you’ll solve. You are both the stabilizer (things don’t break) and the accelerator (things move faster). 2. Systems, Not Band-Aids Turn tribal knowledge into clear workflows Replace chat pings and spreadsheets with real systems Build SOPs that new hires can follow without you Your goal is not to “be helpful.” Your goal is to make yourself unnecessary over time. 3. Metrics That Matter You define and own the operational scorecard: Time-to-treatment Provider utilization Drop-off rates at each funnel stage Authorization and staffing velocity Cancellations, denials, rework These are your numbers - you own everything, why they’re moving and what to do next. 4. Drive Cross-Functional Execution (& for Scale) You work daily with: Predictable intake → treatment timelines: make timelines reliable, even if they aren’t perfect. Reduce churn by fixing ops gaps: churn is rarely a clinical issue first. It’s usually authorization delays, scheduling friction, or unclear expectations. Partner with Product & Engineering: you bring the problems. Product builds the tools. You validate that the solution actually works in real operations. Growth / Partnerships: Scale from 5 → 15 → 30 states. You design for the next scale.. The goal is to avoid rewriting ops every year. Build SOPs and playbooks: not documents for compliance, tools people actually use. If it’s not followed, it’s not done. Your job is to make sure these teams don’t operate in silos and that decisions actually turn into execution. If something is “everyone’s responsibility,” it’s yours. 5. Product as an Operational Lever You run ops but it’s also your job to shape product priorities: Identify where software can replace manual work Partner with product/engineering to ship the highest-leverage fixes Ensure the platform actually reflects how the business runs Operations informs product. Product scales operations. 6. Team Leadership Lead and develop ops, intake, support, and clinical recruiting functions Set clear expectations and operating rhythms Raise the bar on ownership, speed, and judgment You build operators and owners, not task-doers.
