About The Position

The Director provides strategic leadership, management, and oversight for all loan servicing, documentation, reporting, and post-closing functions of the bank. This role is responsible for the day-to-day management of the Loan Operations department, ensuring operational efficiency, regulatory compliance, and high-quality service delivery. The Director also provides direct training, coaching, and mentorship to departmental managers to support their professional development and enable them to effectively lead their teams. In addition, this position serves as a subject matter expert within Loan Operations, offering guidance on loan accounting matters, operational procedures, and system or technical capabilities. The Director plays a key role in strengthening operational processes, supporting cross-department collaboration, and ensuring the accuracy and integrity of loan operations across the organization.

Requirements

  • Bachelors/Associates degree preferred
  • 7+ years of experience in loan documentation work
  • 5+ years of managerial experience
  • Previous experience in commercial banking loan operations with increasing level of supervisory/manager responsibility
  • Knowledge of required commercial documentation regulations
  • Strong communication skills and ability to work cooperatively and effectively with other groups and individuals
  • Strong understanding with the full loan cycle (origination-underwriting-approval-documentation-funding-boarding-review-servicing); Knowledge of working with data and systems in loan-related processes; strong attention to detail and organization
  • Ability to exercise use of discretionary judgment within a sphere of non-controversial activity, clearly guided by law, regulation, company policy or operating standards; probable errors could result in the dissemination of incomplete or inaccurate information to a customer, potentially leading to a minor loss of income or the incurrence of additional expenses
  • Advanced Microsoft Office Skills
  • Knowledge of Horizon and Baker Hill (preferred)

Responsibilities

  • Responsible for the overall loan operations management and oversight of the commercial, real estate, mortgage and consumer loan servicing systems, processes and loan operations staff.
  • Oversee the loan operations staff hiring, training and development, coaching, periodic staff reviews, employee performance management and problem resolution.
  • Ensure team members are properly trained in their day-to-day functions, workload distribution is equitable and completed within target timeframes.
  • Supervise all aspects of loan operations including generation of commercial Laser Pro loan documentation, booking loans, posting of payments, payoffs, draw requests, collateral management, post-closing functions, document imaging, exception tracking and balancing general ledger accounts. Ensures all loans are processed in accordance with established regulations and bank policies.
  • Direct loan input/system boarding and verification procedures for all loans, ensure proper segregation of duties, and develop and maintain workflows for all stages of loan input.
  • Monitors the flow of new deals, loan modifications and payoffs to ensure timely staff response and coordination to handle multiple deals during peak periods.
  • Manage the quality control review process and procedures on loan documentation, loan bookings and the organization of the electronic, scanned loan files.
  • Design and administer systems, processes, procedures and loan products. Oversight of development for workflows for post-closing activities to include post-closing loan review, document exceptions and financial statement tracking, and filing of original promissory notes and guaranty agreements.
  • Monitors reporting to ensure exceptions are identified, addressed and escalated to Executive Management as necessary.
  • Supervision to ensure accurate review, approval and processing of paid loans and collateral releases.
  • Work with system providers and vendors to utilize applications to the fullest capacity, streamline processes and procedures, and ensure accuracy and compliance. Implement periodic updates to system software, verify that enhancements are working correctly and train department staff on updates.
  • Maintain and demonstrate proficiency with loan software applications and help oversee the vendor management functions for these software platforms.
  • Ensure timely creation and preparation for reports including but not limited to Board, Call, SBA, Regulatory, Audit, Federal and State exams, and external loan review.
  • Oversee HMDA and CRA data collection and reporting.
  • Ensure accurate report eligible loan collateral positions to the Federal Reserve Bank and Federal Home Loan Bank of Atlanta.
  • Serve on bank’s Compliance Committee and adhere to all state and federal banking regulations, research new regulations, suggest changes to policies and procedures, and implement them as necessary. Stay current on compliance and regulations by attending seminars and reading available information.
  • Responsible for facilitating with all internal and external audit requirements with a strong knowledge of operational procedure, Sarbanes Oxley (SOX) and risk frameworks and controls.
  • Communicate with other bank department managers and officers to promote efficient workflow and establish positive work relationships across the organization. Successfully interact with customers and internal staff to identify and promptly resolve any loan booking or servicing issues.
  • Allocates resources to support new departmental projects –new product development, processing system updates, etc. Works in partnership with the Chief Credit Officer to assure seamless transition between old and new systems and procedures.
  • Responsible for escrow analysis and escrow processing for all loans.
