About The Position

The Director of Grants Management is responsible for leading the full lifecycle of grant administration, ensuring compliance with all federal, state, local, and private funding requirements. This position provides strategic oversight of grant financial management, reporting, and compliance while collaborating closely with program leadership, finance, and executive management. The Director ensures that grant funds are properly tracked, spent in accordance with funder requirements, and reported accurately and timely. This role supports organizational sustainability by strengthening grant infrastructure, internal controls, and reporting processes. The Director of Grants Management ensures that grant funding is strategically managed to maximize financial sustainability, maintain regulatory compliance, and support the organization’s mission-driven programs. This position reports to the Chief Financial Officer and works cross-functionally with program leadership, development staff, and finance.

Requirements

  • Bachelor’s degree in Accounting, Finance, Business Administration, Public Administration, or related field preferred or 5–7 years of experience in grant management, nonprofit finance, or government funding administration
  • Strong understanding of grant compliance requirements and financial reporting.
  • Ability to interpret grant agreements and funding restrictions.
  • Strong collaboration and communication skills across departments.

Responsibilities

  • Manage the financial administration of all federal, state, foundation, and local grants.
  • Review financial activity regularly to ensure compliance with grant restrictions and funding guidelines.
  • Monitor grant budgets and expenditures to ensure spending aligns with approved funding allocations, collaborating with program managers to prevent variances and maintain accurate tracking of remaining grant balances.
  • Prepare internal financial reports related to grant performance and funding utilization.
  • Monitor the organization’s grant portfolio to assess funding concentration, renewal cycles, and sustainability risks, providing leadership with analysis to support long-term funding stability.
  • Assist leadership in evaluating financial feasibility of proposed grant-funded programs.
  • Evaluate grant opportunities for full cost recovery, including indirect cost rates and administrative allocations, to ensure grant-funded programs are financially sustainable.
  • Provide leadership with grant performance analysis, including budget utilization, program funding trends, and upcoming reporting or renewal milestones.
  • The Director of Grants Management has the authority to review and question expenditure charged to grant-funded programs to ensure compliance with grant agreements, funding restrictions, and applicable regulatory requirements. When necessary, the Director will work with program and finance leadership to correct or reallocate expenses to maintain compliance and protect the organization from financial or regulatory risk.
  • Monitor grant compliance risks and proactively identify potential issues related to allowable costs, reporting deadlines, or regulatory requirements, recommending corrective actions when needed.
  • Support preparation for audits, including federal Uniform Guidance compliance when applicable.
  • Develop and maintain grant management policies and procedures.
  • Ensure compliance with federal, state, and private grant regulations by maintaining strong internal controls and monitoring grant agreements for required deliverables, spending restrictions, and reporting obligations.
  • Strengthen the organization’s grant management infrastructure by developing systems, tools, and internal procedures that improve tracking, reporting, and accountability for grant-funded programs.
  • Maintain comprehensive grant files including award agreements, budgets, amendments, compliance documentation, and required reporting records.
  • Prepare and coordinate submission of required financial and programmatic grant reports in collaboration with program staff and leadership.
  • Ensure proper documentation for allowable costs and support financial records.
  • Collaborate with program and development teams to build grant proposal budgets.
  • Provide financial analysis and guidance during grant application development.
  • Review proposed budgets to ensure alignment with organizational financial policies and grant guidelines.
  • Assist in developing cost allocation methods for shared program expenses.
  • Serve as the primary liaison between finance, development, and program teams by providing guidance on grant spending requirements, allowable costs, timelines, and compliance expectations.
  • Support leadership with financial analysis related to grant funding opportunities.
  • Maintain and oversee the organization’s grant tracking systems and reporting tools.
  • Develop dashboards or reports that provide leadership visibility into grant performance and funding utilization.
  • Identify opportunities to improve efficiency and transparency in grant management processes.
  • Prepares and submits annual budgets for each grant program. Review and ensure all expenses are within the grant guidelines.
  • Monthly reconcile expenses to prepare invoices for grant reimbursement. Reviews and maintains “budget to actual” reports and advises appropriate management of any variances. Upon their approval, create budget revisions to be sent to grantors.
  • Prepares and submits monthly invoices and quarterly reports for all state grants and other agencies. Maintains all documents for back-up for contracts, invoices, budget revisions, and other information pertaining to each grant program.
  • Track grant reporting deadlines and deliverables across departments.

  • Technology needs coordinates with outside vendors.
  • Responsible for approving Amazon orders
  • Assists with new onboarding staff
  • Assists with the closing process ensuring all activity related to the monthly closure is on schedule and complete.
  • Enters and posts ACH transactions received to the GL
  • Oversee the Accounts Payable Functions. Ensures accuracy of invoice coding, ensures invoices are paid and entered in a timely manner.
  • Assist with creating Finance policies and procedures.
  • Completes credit applications for agency.
