About The Position

The Director of Kansas Internal Operations is a critical role within the Kansas Football program, responsible for overseeing various aspects of the team’s operations, ensuring efficiency, and supporting the coaches, staff, and student-athletes. The position is responsible for the oversight and day-to-day operations and direct supervision of the Football Administrative Assistant and part-time student interns assigned to Football Operations. This job operates in both a professional office environment and outside at football-related events, including inclement weather. This role routinely uses standard office equipment such as laptop computers and various digital devices, including, but not limited to: cell phone, printer, copy machine, and other related devices. This job requires flexibility and adaptability in schedule and the ability to perform job related duties on short notice. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to speak and hear. Specific vision abilities required by this job include close vision and ability to adjust focus. This position may require frequent bending, moving, lifting, and carrying material weighing up to 50 pounds; standing up to eight hours each day; and working in all weather conditions. Moderate travel is expected for this position. This is a full-time position. Days and hours of work will vary based on the needs of the football program and as job duties demand. Early morning, evening and weekend work is required. Requirements

  • Bachelor’s degree from an accredited college or university
  • Minimum of three years of experience for an NCAA Intercollegiate Athletics program
  • Experience in a managerial or supervisory role
  • Must have general knowledge of NCAA compliance guidelines
  • Proficient in Microsoft Office (Outlook, Word, Excel, etc.)
  • Demonstrated strong sense of initiative, and the ability to prioritize and manage multiple tasks with competing deadlines, and a willingness to be flexible in managing changing priorities
  • Demonstrated strong written and verbal communication, organizational skills, and attention to detail
  • Demonstrated ability to utilize good judgement in the interpretation and application of policies and procedures as to exercise discretion in confidential matters is essential
  • Ability to work well both independently and collaboratively with a large coaching and support staff
  • Ability and willingness to work an irregular schedule to support prospect recruiting events, home sporting event, camps/clinics, which will involve occasional evenings, weekends, or holidays as needed during peak sport seasons

Nice To Haves

  • Experience in a Division 1, Power 5 football program
  • Experience with database management or knowledge of ARMS, Teamwork’s, or other software programs
  • Experience with coordinating logistical aspects of travel (booking flights, hotels, creating itineraries, etc.)

Responsibilities

  • Oversee and coordinate daily football operations ensuring all operational aspects are aligned with the team’s goals and objectives
  • Provide full managerial oversight of the Football Administrative Assistant and the part-time Operations student intern, which includes University course credit opportunities and Federal Work Study. This includes the management of the recruitment process, selection and hiring, workforce planning and scheduling, performance management, and training
  • Assist Director of Football Operations with all logistical aspects of team travel; schedule, transportation, lodging, football, stadium mechanics, communication to staff, and preparation of travel documents, detailed scheduling to travel and non-travel players. This includes, developing itineraries arranging transportation, and support staff for events, practices, meetings and other events
  • Oversee and coordinate all aspects of the advance travel team operations and logistics for away games
  • Oversee and manage the Teamwork’s database for the Kansas Football program: responsible for inputting daily schedules (meetings, workouts, practices, etc.), tracking CARA and RARA hours and monitoring and updating all user accounts. This includes maintaining student-athlete files for the Head Football Coach
  • Oversee and manage the reconciliation of all operational expenses (including team travel) to maintain financial responsibility and stay within the football operational budget. Assist in the development and management of the football program’s budget. Monitor expenditures and ensure financial resources are used efficiently
  • Provide logistical support to the Head Football Coach. Maintain the calendar and schedule of the Head Football Coach, including scheduling meetings, appointments, and logistics. Coordinate Head Coach travel, including the collection of information pertaining to the trip, creation of the master itinerary, and all logistics inside of the trip
  • Collaborate and coordinate with the Business Office to order and manage inventory of per diem and commerce cards. This includes, ordering cards for new staff and athletes, order and distribute replacements (temporary and permanent) for existing staff and athletes. Input per diem in spreadsheet, prior to per diem issuance
  • Serve as a liaison with the family members of the coaching staff. This includes the management of the master spreadsheet with staff family information (Contact info, title, spouse, children, birthdays, address). Send family of staff weekly information relating to Home/Away game information and mechanics, RSVP to JSP Tailgate
  • Lead the coordination and execution of special events; including but not limited to: Ladies Night, Staff Outing(s), Bowl Prep meetings, Spouses Events, program speakers and consultants. Ensure the successful execution of events by managing logistics and coordinating with relevant departments and vendors
  • Oversee and manage all aspects of summer prospect camps, including hiring and managing camp staff, ensuring camps meet compliance rules and regulations, completing all post-camp reports, and act as liaison for participants and parents from time registration is launched through arrival at camp
  • Assist in the planning and execution of fall training camp. This includes coordinating camp logistics such as athlete transportation to and from practice, report day logistics, team event planning and coordination
  • Oversee and manage the scheduling and hosting of football officials at practices; communicating with the officials regarding arrival time, schedule, parking, and locker facilities
  • Serve as the football liaison to the use of the KU Private Jet. Manage all communication and logistics regarding to booking, passengers, schedule, routes
  • Assist football recruiting staff, as permitted by NCAA rules and policies governing non-coaching staff members
  • Additional duties may be assigned by Athletic Director, Head Football Coach, or their designee
