About The Position

Job Purpose: Present the positive and professional image that Choice Insurance, a Vizance Company strives to maintain, both on the phone and within the office, resulting in high levels of operational efficiency and client service toward associates and clients. WHAT YOU WILL DO Provide a Positive First Impression Answer phone calls in a professional manner by the third ring, providing a positive first impression and reliable administrative report Direct calls to the appropriate associate Welcome all visitors, offer something to drink, and alert appropriate associate Maintain orderliness of lobby area and conference rooms Provide light cleaning of lobby area, conference rooms, copiers, and supply areas Coordinate use of the conference room and flex workstations, as needed Maintain an organized work environment, including desk, files, electronic folders and documents, email, voicemail, etc. Sort and scan mail for distribution to associates; address and postmark outgoing mail; maintain the postage meter Maintain inventory of office supplies, ordering as necessary Assist with travel arrangements, meeting details, lunch orders, etc. Record holiday and office closure greetings into phone system Participate in scheduled department meetings Set and achieve performance goals Provide Client Relations Support Assist or expedite mass mailings as needed Utilize general computer skills to download, scan, copy, and file documents Assist with general data entry projects Assist our transactional unit with requests Assist Advisors with marketing initiatives Assist sales advisors with facilitating Surety bonds (training provided) Process statements for checks, deposits, and commissions Timely and accurate completion of tasks, basic product knowledge Offer Administrative Support Administrative support with the coordination of client accounts, including answering phones, processing incoming and outgoing mail, and organizing client documents Maintain orderly electronic files and information in accordance with agency standards Maintain confidentiality of sensitive information Other duties as assigned

Requirements

  • Excellent customer service and interpersonal skills
  • Strong verbal and written communication skills
  • Ability to prioritize tasks and organize effectively
  • Property & Casualty Licensing required within 60 days of hire (Assistance provided)
  • Work full-time - Monday-Friday 8am-5pm onsite at branch location

Responsibilities
