About The Position

Under the direction of the Chief Executive Officer, the Director of Finance and Building Operations provides strategic oversight and completes day to day operations in the areas of financial management, planning, budgeting, analysis, auditing, accounting, controls, risk management,reporting, facilities management, and building operations. This role ensures the financial health, operational stability, and facility readiness of the organization in service of BBBSTC’s mission. This position will also work closely with and at times take direction from the Board of Directors and Finance Committee to lead organizational projects pertaining to finance. As a member of the Leadership Team, this role plays a pivotal part in organizational decision-making, cross-departmental planning, and Board engagement—bringing a strategic lens to financial stewardship, infrastructure investment, and risk management. The Director supervises the Finance and Building Operations Coordinator and ensures that the agency’s physical space, systems, and vendor relationships support staff productivity, safety, and long-term sustainability. The candidate must demonstrate a strong work ethic, integrity, accountability, high performance, and strong attention to detail, along with the ability to translate complex financial and operational information into clear guidance for leadership, staff, and the Board. Requirements

  • Bachelor’s Degree in Business Administration, Finance, Accounting or a related field is required.
  • At least 5 years of financial management experience – preferably in a non-profit sector with multiple funding streams
  • At least 3 years of experience in managing multiple funding streams in state and federal grant management
  • At least 3 years of experience in an organization with a budget of at least $3 million
  • Previous experience as the primary lead for financial audits
  • Ability to anticipate accounting, financial reporting and operational issues, assess their implications, determine their impact and develop and implement an appropriate action plan
  • Solid organizational, problem solving, critical thinking, and attention to detail skills
  • Knowledge of internal control procedures to safeguard assets
  • Knowledge of payroll, sales and other taxes to ensure compliance
  • Experience completing taxes and oversight of investment portfolios
  • Ability to prepare for and facilitate effective financial meetings
  • Knowledge of GAAP guidelines
  • Excellent inter-personal skills and the ability to communicate effectively with all levels of the organization, including management and board members.
  • High degree of confidentiality, diplomacy, discretion and tact.
  • Strong problem solving, critical thinking skills and the ability to achieve results both individually and working with others.
  • Knowledge of, and ability to employ, leadership skills to direct, supervise and coach staff.
  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, copy machines and filing cabinets. This role must be able to remain in a stationary position 50% of the time.

Responsibilities

  • Provide strategic and day-to-day leadership of the Finance function, ensuring accurate, timely, and compliant financial operations
  • Recommend and establish benchmarks for measuring the agency’s financial and operating performance
  • Monitor and analyze monthly financial and operating results against budget and forecasts, surfacing risks and opportunities
  • Manage agency cash flow and ensure timely payments for expenses
  • Coordinate financial audits and provide recommendations for procedural improvements
  • Monitor trends to identify risks and opportunities across key expense categories
  • Maintain strong internal controls and regularly review financial policies and procedures.
  • Review current financial policies and procedures and make necessary changes in alignment with Generally Accepted Accounting Principles (GAAP)
  • Work closely with development team to ensure project/grant budgets are aligned with organizations projections
  • Oversee all BBBS investment portfolios and implement Finance Committee investment decisions
  • Oversee revenue recognition, ensuring restricted funds are appropriately recorded
  • Review and maintain records of agency contracts
  • Serve as back up for financial support professional’s direct responsibilities, including accounts payable, accounts receivables and cash receipts.
  • Oversee facilities management, including building maintenance, repairs, safety systems, vendor contracts, and physical space planning
  • Procure, interview, and assess vendor relationships as aligned to BBBSTC mission and values
  • Ensure the organization’s building and physical infrastructure are welcoming, clean, safe, functional, compliant, and supportive of staff and program needs and reflective of the agency’s values
  • Allocate resources and approve investments that maintain building safety, cleanliness, functionality, and a positive first impression
  • Manage building-related budgets, capital improvements, and long-term facilities planning in partnership with the CEO
  • Oversee organizational risk related to physical space, including insurance coverage, safety protocols, and emergency preparedness
  • Serve as a thought partner on space utilization, workplace operations, and infrastructure investments
  • Serve as the organization’s primary liaison with financial auditors
  • Oversee preparation of the annual audit, IRS Form 990, and financial sections of the annual report.
  • Manage the organization’s financial risk for protecting assets including – ensuring adequate insurance coverage for employees, stakeholders, board members, clients, vendors, vehicles and building/physical space
  • Establish and maintain professional relationships with financial institutions and related businesses as necessary
  • Ensure payroll, tax filings, and all local, state, and federal reporting requirements are met on time.
  • Partner with Development to ensure accurate and timely grant budgets, financial reports, financial gaps, and compliance.
  • Provide accurate and timely information to CEO, Board of Directors, and Finance Committee. Attend all board meetings and finance committee meetings
  • Work with CEO, Board of Directors, and financial committee members to establish appropriate annual long/short term financial objectives and plans that meet the needs of BBBS
  • Oversight of BBBS 403b investments and ensure that carrier is properly investing funds
  • Support the organization’s leadership team and budget managers in the annual planning and budgeting cycle and assist them in completing their budgets
  • Identify and communicate financial implications of organizational growth, facilities decisions, and strategic initiatives
  • Maintain knowledge of community needs, resources, and networks
  • Communicate professionally with internal and external constituents
  • Work collaboratively to achieve results as specified in the strategic plan
  • Promote teamwork by overseeing and participating in various teams, including work groups and interdepartmental meetings
  • Positively represent BBBS in the larger community
  • Assist in agency-wide events and initiatives including recruitment, fundraising, event management, and community outreach.
