About The Position

Reporting to the Executive Director, the Director of Finance & Administration is responsible for long-term financial planning, operational efficiency, sound internal controls, and effective financial management across the agency. This position provides direct oversight of day-to-day financial and accounting operations, including general accounting, accounts payable, accounts receivable and payroll.

Requirements

  • Bachelor's degree in business, management or finance
  • Minimum of five years of professional experience, including managing the finance and administration of a $10 million to $20 million organization.
  • Strong understanding of creating and driving the analytic framework for planning and driving organizational change in a fast-paced organization
  • Experience managing tight cash flow and developing and implementing ways to grow revenue and control expenses.
  • Proven record of accomplishment in strategic planning and implementation.
  • Experience should include legal, audit, compliance, budget, and resource development.
  • Excellent people skills, with experience collaborating in a multidisciplinary, diverse, and dynamic team
  • Personal qualities of integrity, credibility, and commitment to the NOJCC's mission.

Nice To Haves

  • MBA/CPA preferred along with a bachelor’s degree preferably in accounting
  • Experience with SAGE Intacct accounting system
  • Flexible and a self-starter, able to multitask while also being highly detail-oriented.
  • Demonstrated experience in financial management and accounting, ideally in the nonprofit sector.
  • Proven leadership skills with the ability to hire and retain a cohesive, talented staff
  • Lead by example; follow all NOJCC policies and procedures as defined in the NOJCC Handbook and as directed by Agency leadership.

Responsibilities

  • Oversee the proper implementation and maintenance of all accounting systems and functions.
  • Supervise and manage the finance staff.
  • Promote process improvement, cross-training, and a culture of collaboration across departments.
  • Maintain proper recording of all donations and grants including tracking of all restricted funds.
  • Assist with the development and maintenance of finance department policies, procedures, and documentation to support consistency and accountability.
  • Support the review and enhancement of internal control systems and financial procedures in collaboration with external consultants or auditors to ensure strong fiscal practices.
  • Provide administrative support for financial coordination with the NOJCC Foundation.
  • Assist with periodic reporting, documentation, and alignment of financial practices between the NOJCC and NOJCC Foundation.
  • Recommend and implement enhancements to financial systems and workflows that improve efficiency, transparency, and organizational performance.
  • Coordinate and oversee the annual audit process.
  • Liaise with auditors and board representatives and assist in responding to audit requests or recommendations.
  • Oversee the preparation of the Form 990 and coordinate with CPA firm.
  • Support contract management and billing processes; ensure financial data collection and reporting support agency requirements and funder expectations.
  • Lead the organization’s budgeting and financial planning process in conjunction with the Executive Director.
  • Monitor financial performance, track variances, and keep leadership informed of key trends and changes.
  • Manage organizational cash flow and financial forecasting to ensure sustainability and alignment with operational needs.
  • Collaborate with the Senior Leadership Team to establish long-range goals, strategies, plans, and policies.
  • Monitor progress and support accountability across departments
  • Assist with cash flow forecasting and financial scenario planning, offering data-driven insights to inform operational decisions and resource allocation.
  • Contribute to discussions around insurance coverage and organizational risk awareness.
  • Support documentation and communication related to liability, property, and workers’ compensation coverage in collaboration with the Executive Director and brokers.
  • Serve as a key communicator of the organization’s financial status to the board of directors and other stakeholders
  • Analyze and present timely and accurate monthly and annual financial reports.
  • Prepare financial reports for executive committee, finance committee and board of directors, translating complex data into clear, actionable information for non-financial audiences.
  • Prepare financial reports for internal stakeholders, donors and department heads.
  • Monitor changes in nonprofit accounting standards and regulatory requirements; IRS Form 990, state charitable registrations, and file retention protocols.
  • Ensure financial reporting complies with generally accepted accounting principles (GAAP) or other relevant standards
  • Oversee payroll processing for all employees including recording payroll in the general ledger and allocation of all payroll expenses to departments.
  • Maintain accurate payroll records.
  • Coordinate with staff and vendors to maintain and improve financial software platforms (e.g., Sage Intacct, Stampli, Amilia, Paycom, etc.), ensuring timely and accurate reporting and integration with the accounting system
