Position Overview  This professional role is responsible for overseeing and maintaining the maintenance, operations, cleanliness, and overall functionality of the community to local, state, federal regulations, and Dial standards. The position manages a team and budget to ensure the facility runs smoothly, safely, and efficiently. The Director of Facilities plays a crucial role in ensuring the community effectively supports the needs of residents and staff, and functions optimally.

Requirements

  • High school diploma or GED
  • 3-5 years experience in facility or environmental services leadership role
  • Proficiency with facility repair tools and techniques
  • Experience with Life Safety Codes
  • Excellent communication skills
  • Great time management and ability to prioritize
  • Keen attention to detail and effective problem solving skills
  • Promote teamwork in providing services to residents.
  • Function and operation of kitchen appliances, office equipment, maintenance equipment and grounds equipment, with ability to do minor repairs
  • Understanding of and ability to repair minor plumbing, carpentry and electrical problems
  • Proper care and maintenance of lawns, trees, shrubs, and other plants
  • Drywall repair and painting
  • Outdoor responsibilities in winter and summer

Responsibilities

  • Fully utilize the TELS facility management platform in accordance with Dial standards and ensure the platform and tools are tailored to the community’s specific equipment, regulations, and needs.
  • Schedule and oversee routine maintenance, repairs, and upgrades for the building's systems (e.g., fire protection, HVAC, electrical, plumbing, etc.) and infrastructure.
  • Conduct repairs and maintenance internally, utilizing community staff when possible.
  • Manage the restoration of apartments to a like-new condition after resident vacancy according to Dial standards. Identify appropriate charges to vacating residents in conjunction with the business office.
  • Ensure the building’s exterior areas are maintained and present a clean, professional, and aesthetically pleasing appearance.
  • Oversee the proper handling, removal, and disposal of trash.
  • Guarantee the facility meets all health and safety standards, manage security systems, and implement emergency preparedness procedures.
  • Make certain parking areas, driveways, and sidewalks are maintained safe and clear of snow and ice during inclement weather, ensuring concrete protection as much as possible.
  • Ensure the safe use and storage of cleaning supplies, chemicals, tools, and equipment according to regulations and Dial standards.
  • Develop and manage budgets for facility-related expenses, including maintenance, repairs, and service agreements and contracts.
  • Procure supplies and material utilizing Dial approved vendors first, or selecting best value suppliers (highest quality for the best price) to remain within budget limitations.
  • Solicit multiple vendors when applicable and recommend the best value option for vendor service, repairs, and maintenance.
  • Negotiate vendor proposed contracts and service agreements in accordance with Dial contract terms.
  • Manage vendors for specialized maintenance, testing, certification, cleaning, landscaping, and other services, when required.
  • Manage the inspection and maintenance of all vehicles, including the completion of Department of Transportation requirements, as applicable, on time and according to regulations and Dial standards.
  • Guarantee the community is ready for external inspections, including State, Fire Marshal, Dial, Lender, and Department of Housing and Urban Development, as applicable.
  • Promptly correct any deficiencies identified and put specific corrective actions in place to prevent recurrence.
  • Provide initial and continual training and education for the staff and residents on health and safety standards, security and life safety systems, and emergency preparedness plans and procedures.
  • Conduct recurring drills and training according to regulations and Dial standards to ensure readiness for the proper implementation of emergency preparedness plans and procedures.
  • Guide, train, mentor, assess, and take advantage of opportunities for professional development of the maintenance staff.
  • Respond to facility emergencies and urgent matters to ensure prompt resolution of issues, assuming on call duties as required.
  • Assist other departments, as requested.
  • Report any on-the-job injuries to the supervisor before the end of the work shift on the day the injury occurs.
  • Maintain confidentiality of verbal and written information pertaining to residents, community operations, and personnel.
  • Other duties as assigned.
