As the leader of enrollment operations, you are responsible for converting prospective family interest into fully enrolled students for Legacy Traditional Schools. Your mission is to build and run a reliable enrollment engine, obsessively optimizing the end-to-end parent journey to increase both the speed and success rate of conversions. This role requires a bias for action and a player-coach mentality; you will lead a team executing a high-touch outreach strategy, use data to diagnose and clear funnel bottlenecks, and collaborate closely with school-site registrars to create a seamless, supportive, and human-centric experience for every family seeking to change their child's life through education.

Requirements

  • Proven experience managing and improving a multi-stage customer conversion funnel (e.g., inside sales, marketing operations, or enrollment).
  • Demonstrated expertise designing and optimizing automated communication and workflows within a modern CRM platform (HubSpot strongly preferred).
  • Experience leading, coaching, and managing a team responsible for meeting customer-facing performance targets.
  • Strong analytical skills with experience using funnel data to diagnose performance bottlenecks and drive process improvements, even with imperfect information.
  • Experience mapping a complex customer journey to identify pain points and implement solutions that measurably increase conversion rates.

Nice To Haves

  • Direct experience in K-12 admissions, student recruitment, or enrollment operations for a school or school network.
  • Experience working in a 'player-coach' role, directly contributing to team goals while also managing team performance.
  • Familiarity with Student Information Systems (SIS) like PowerSchool and enrollment platforms like Avela.

Responsibilities

  • Enrollment Funnel Management: Analyze daily funnel reports in HubSpot to identify and address conversion bottlenecks, ensuring families progress smoothly toward registration.
  • Manage the real-time distribution of new parent inquiries to enrollment specialists, optimizing for a rapid and high-quality first contact.
  • Establish and monitor team-level KPIs for key funnel stages, such as application completion and document submission rates, to drive daily progress toward enrollment targets.
  • Serve as the final escalation point for complex parent enrollment issues, personally engaging with families to resolve problems and preserve their journey.
  • Parent Journey & Communication Design: Map the end-to-end parent journey—from initial inquiry to verified registration—to identify and eliminate points of friction for families.
  • Develop and maintain a central library of communication scripts, email templates, and outreach cadences that prioritize clarity, empathy, and a supportive tone.
  • Design and execute A/B tests on parent messaging and engagement tactics to continuously improve conversion rates at each stage of the funnel.
  • Systematically gather and analyze feedback from parents and school-site staff to inform ongoing improvements to the enrollment process and experience.
  • Team Leadership & Development: Recruit, onboard, and provide continuous coaching to a team of enrollment specialists, fostering a culture of high performance and compassionate parent support.
  • Lead from the front by actively working leads and taking parent calls alongside the team to model best practices and directly contribute to enrollment targets.
  • Define clear roles and build individual performance dashboards for each team member, using HubSpot data to drive accountability and focus.
  • Conduct regular one-on-one meetings and call reviews, providing specific, data-informed feedback to help each team member improve their effectiveness.
  • Process Optimization & Stakeholder Alignment: Act as the business owner for the lead-to-registration process within HubSpot, designing and refining workflows to automate repetitive tasks and improve data integrity.
  • Build and maintain strong, collaborative relationships with school-site registrars and administrators, working together to create a seamless handover for families.
  • Lead regular alignment meetings with school partners to share performance data, troubleshoot process gaps, and co-develop solutions that improve the parent experience.
  • Partner with internal teams to improve the flow of information between HubSpot, PowerSchool, and Avela, reducing the need for manual data entry and reconciliation.
