About The Position

Responsible for developing and executing capital budgets; performing lease management; facilitating building and space design; overseeing construction/renovation and associated internal coordination; directing facilities vendor management activities and payments processing; supervising utilities cost control and payments approval; managing space planning and major personnel relocations; overseeing facilities maintenance; and performing activities in compliance with applicable laws and regulations.

Requirements

  • Bachelor’s Degree required. Additional experience may be substituted for this requirement.
  • 10+ years of experience in facilities-related leadership or equivalent functions required
  • Competence in all functions listed in the summary section required
  • Strong interpersonal, communication and leadership skills required
  • Moderate-strong skills with Microsoft Office applications required
  • Ability to discern construction drawings, documents and similar items required
  • Well organized, detail and customer (internal and external) oriented self-starter
  • Strong procurement and negotiation skills
  • Some travel required
  • Ability to multi-task, prioritize and manage time efficiently
  • Respectful demeanor toward other associates and managers that promotes a positive and professional work environment
  • Understand and comply with bank policy, laws, regulations as applicable to your job duties.

Responsibilities

  • Develop capital budgets in consultation with Corporate Real Estate team and key stakeholders. Execute items in the timeframes identified within final and approved budgets.
  • Negotiate and facilitate letters of intent at the direction of appropriate executive leadership.
  • Assist executives and other stakeholders in entering into, renewing, modifying and canceling all leases across the organization.
  • Assist with and oversee building and space design, including interface with internal contacts and external parties (facility owners, space planners, architects, local authorities having jurisdiction, etc.).
  • Oversee construction and renovation projects, to include development and coordination of appropriate project budgets, payment/budget tracking and approvals; legal document execution; contractor and professional services engagements; interface with local authorities having jurisdiction, contractors and other suppliers; and coordination with internal stakeholders and project participants. Scope of work begins at the first step, such as site selection, and concludes with final project acceptance and provision of as-build drawings, warranty information, etc., along with final budget reconciliation and reporting.
  • Work with CRE team and local leadership to select and oversee facilities vendors, to include vetting, licensure, insurance, bonding, contracts execution and oversight for invoice processing.
  • Supervise utilities and other cost control and invoice processing.
  • Manage material space planning initiatives and major personnel relocations, to include engagement of key internal stakeholders, space planners, movers, etc.
  • Oversee facilities preventive maintenance, repair and equipment upgrades.
  • Respond to emergency incidents.
  • Develop and administer budget and operating procedures for departmental functions.
  • Perform duties in compliance with applicable laws and regulations.
  • Perform required administrative activities for CRE team.
  • Perform other duties as assigned.
