About The Position

The Digital Adoption Specialist is responsible for designing, building, and maintaining high-quality in-app digital experiences using Whatfix to support user enablement and platform adoption across the enterprise. With a focus on key enterprise platforms of Workday and UKG, this role plays a critical part in simplifying complex business processes and empowering users through just-in-time, contextual guidance. The ideal candidate brings deep expertise in Whatfix content creation, strong process analysis skills, and a passion for improving the employee digital experience. While this role emphasizes support for Workday and UKG, it also contributes to digital adoption strategies for additional business systems such as Salesforce, ServiceNow, and custom applications. The Digital Adoption Specialist works cross-functionally with product managers, product owners, and application teams to deliver scalable, sustainable guidance that drives adoption and reduces support burden. Requirements

  • Bachelor's degree required in a relevant field.
  • 5 years of experience in digital adoption, instructional design, technical communication, or enterprise software training.
  • Hands-on Whatfix experience building digital content for enterprise systems.
  • Proven experience supporting enterprise application platforms through digital adoption tools or end-user enablement initiatives.
  • Advanced proficiency in Whatfix authoring, tagging, content structuring, and analytics.
  • Strong understanding of enterprise business processes, especially as configured in Workday and UKG environments.
  • Ability to analyze complex workflows and distill them into user-friendly, in-app guidance with minimal disruption.
  • Excellent writing, editing, and UX-focused content development skills with close attention to clarity, consistency, and tone.
  • Proficiency in collaboration and stakeholder engagement across functional, technical, and leadership teams.
  • Familiarity with content governance, accessibility standards (e.g., WCAG), and digital adoption metrics.
  • Self-starter with a passion for digital enablement, employee experience, and continuous improvement.

Nice To Haves

  • Familiarity with other enterprise applications such as Workday and UKG is a strong plus.
  • Experience working in Agile environments and contributing to iterative product and content delivery cycles.
  • HTML/CSS knowledge and experience with browser extensions or JavaScript-based tagging frameworks are a plus.

Responsibilities

  • Design and develop in-app content using Whatfix, including flows, smart tips, beacons, task lists, and knowledge content to support user adoption of enterprise platforms-with particular emphasis on Workday and UKG workflows.
  • Partner with business and application teams to understand key user journeys, identify friction points, and translate business processes into intuitive, self-guided learning experiences across multiple systems.
  • Maintain a centralized Whatfix content library ensuring accuracy, version control, and alignment with platform updates, especially during Workday and UKG release cycles.
  • Uphold standards for Whatfix content voice, tone, branding, and accessibility to ensure consistent user experiences across all supported platforms.
  • Leverage Whatfix analytics and user feedback to assess content performance, identify areas for improvement, and implement optimizations based on usage trends and adoption metrics.
  • Coordinate with change management and training teams to align Whatfix content with broader enablement strategies during system upgrades, feature rollouts, or process redesigns.
  • Provide internal consultation, training, and documentation to support new Whatfix authors and promote awareness of Whatfix capabilities.
