About The Position

This position is located in Evanston, Illinois. The Development Coordinator is responsible for building and maintaining positive relationships with donors, volunteers, and in-kind supporters to strengthen engagement and support for the organization. This role oversees donor and volunteer stewardship, ensuring timely acknowledgments, managing communication and appreciation efforts, and coordinating closely with the Data Coordinator and Sr. Manager of Annual Giving on events and outreach. In addition, the Development Coordinator leads volunteer engagement by developing and implementing recruitment, training, and scheduling plans in collaboration with program staff. They supervise individual and group volunteer activities and ensure compliance with all documentation and legal requirements. The role also manages the in-kind donation process, maintaining an updated wish list, coordinating donation intake, and overseeing inventory and storage with support from volunteers.

Requirements

  • Bachelor's degree in events management or equivalent experience.
  • At least 3 years of experience working or volunteering in a nonprofit development department with some experience doing data entry, maintaining donor files, and running reports.
  • Experiencing coordinating work projects or activities on deadlines.
  • Experience using professional writing and verbal communication skills with stakeholders and for other work-related purposes.
  • Intermediate proficiency using Microsoft Office Suite.
  • Beginner proficiency using Donor Perfect Online, Raiser’s Edge, or a comparable donor database.
  • Experience with email marketing programs such as Constant Contact or Mailchimp.
  • Experience using event management software such as QGiv, OneCause, or Eventbrite.

Nice To Haves

  • Bachelor’s degree in business, marketing, communications, or related fields.
  • At least 4 years of fundraising and/or volunteer experience, including building relationships and responding to the inquiries of donors, board members, volunteers, and staff.
  • Valid driver’s license and proof of auto insurance.
  • Demonstrated completion of one or more fundraising professional development programs.
  • Advanced proficiency with Donor Perfect Online, Raiser’s Edge, or Salesforce fundraising platforms.
  • Access to a reliable personal auto for business use.

Responsibilities

  • Respond to general donor, in-kind, and volunteer inquiries and concerns in a timely and professional manner.
  • Ensure timely and accurate gift acknowledgments, with automated ‘thank you’ email templates and a bi-monthly distribution of printed gift acknowledgement letters for major donors and offline gifts.
  • Ensure volunteers receive acknowledgements indicating hours served, along with any additional documentation required for matching gift forms.
  • Notify monthly donors as needed if a recurring pledge is nearing its term.
  • Coordinate with the communications department to ensure volunteer information and opportunities are up to date and featured on the organization's website.
  • Collaborate with the Sr. Manager of Annual Giving on donor and volunteer stewardship appreciation events.
  • In collaboration with program directors, develops and implements a volunteer engagement plan that includes, but is not limited to, recruitment, screening, placement, training, acknowledgment, record-keeping, and reporting in collaboration with the Data Coordinator.
  • Ensures volunteers comply with all legal requirements and that all required training and documentation are appropriately recorded and readily accessible as needed, in collaboration with the Data Coordinator.
  • Schedules and supervises individual and group volunteers for recurring shifts as well as one-off and annual special events (i.e., Race Against Hate). If not directly supervising, ensuring the appropriate departmental staff supervises the volunteer shift.
  • Regularly solicits input from program staff to update and maintain the in-kind donation “wish list” on the organizational website and works with the communications team to broadcast specific, in-kind donation needs.
  • Fields inquiries for and ensures acceptance of in-kind donations in accordance with agency protocol.
  • Appropriately collects in-kind donation information to provide to the Data Coordinator for database entry.
  • Ensure all in-kind donation items are sorted and inventoried in both the main building and the Domestic Violence-specific storage areas, with support from volunteer individuals and groups.
  • Attends staff training and participates in agency committees.
  • Pursues professional development.
  • Understands and adheres to all YWCA Evanston/North Shore procedures and policies as well as YWCA Employee Handbook.
  • Performs other duties as assigned by management.
