About The Position

The Development Coordinator is a vital part of the fundraising operation for the Humane Society for Southwest Washington. The coordinator is responsible for gift entry and acknowledgement, creating thank you letters, pledge reminders and invoices, data management, and reporting fundraising progress. This position also provides support to leadership and colleagues. The Development Coordinator interacts with administration staff, volunteers, and donors and must be a positive and enthusiastic ambassador for the HSSW and our mission to rescue, restore, rehome, return, and reconnect one animal at a time. The Development Coordinator works both independently and as a collaborative member of the Development team, reports to the Associate Director of Development, and works closely with the Finance team.

Requirements

  • Previous experience working in fundraising, gift/data entry, data management, or an administrative setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and knowledge of Customer Relationship Management software (DonorPerfect and GoFundMe Pro).
  • Previous experience with data manipulation, analysis, and reporting using Excel.
  • Demonstrated organizational skills and ability to manage multiple priorities.
  • Excellent verbal and written communication skills; experience in business writing, editing and proofreading preferred.
  • At least two years of post-secondary education or professional experience.
  • Sincere interest, enthusiasm, and affinity for animal welfare management and working with people and animals.

Responsibilities

  • Process all donations to HSSW in the DonorPerfect donor database.
  • Generate, print, and mail acknowledgment letters for all donations, pledges, sponsorships, grants, and gifts-in-kind, including year-end summaries, endowment reports, etc.
  • Maintain comprehensive gift documentation records in compliance with industry best practices and IRS guidelines.
  • Provide administrative support for the President and other executive team members as needed.
  • Answer phones, respond to donation inquiries, and appropriately direct incoming calls.
  • Support Associate Director of Development with ongoing maintenance of DonorPerfect, GoFundMe Pro, and data management.
  • Perform other administrative duties, including ordering office supplies, tracking/processing expense reports, and purchase orders.
  • Assist with the notification and distribution of incoming packages and mail, as well as process outgoing mail.
  • Keep the Vancouver Board Room and kitchen area clean and neat.
  • Troubleshoot Board and Education Room calendars to resolve scheduling conflicts.
  • Assist President, Executive, and Development teams with meeting preparations as requested.
  • Support the annual audit process and serve as a resource to Finance staff for questions regarding reconciliation.
  • Support Associate Director of Development with pledge and multi-year gift activity, including tracking of payments, preparing and sending invoices and reminders, and tracking all conditions as required by donors.
  • Provide excellent customer service to all HSSW constituents.
  • Serve as an ambassador for the mission, vision, and values of HSSW.
  • Support the annual Walk/Run for the Animals, Unleash Your Heart Gala, and Claws for Paws with gift entry, reconciliation, and other tasks as needed.
  • Assist the Associate Director of Development with prospect management and research.
  • Develop an awareness of trends and best practices in non-profit and animal welfare business operations.
  • Perform other related duties as assigned.
