About the Role The Development Associate is a valued, vital role acting as a hub to the daily activities of the Major Gifts department. The Development Associate provides detailed administrative support and Major Donor event management for the department and contributes to fundraising goals across planned giving, mid-level giving, and major giving. This is an ideal opportunity for a highly organized individual who likes to continue to learn and grow and have interesting, diverse projects each day. Requirements

  • Education: A Bachelor’s Degree is preferred, not required. High school diploma is required.
  • Experience: Three to four years’ experience in providing administrative clerical support, office management, or equivalent experience in a development role.
  • Familiarity with office procedures and equipment.
  • Must have the ability to research and correlate data for reports accurately and completely; use judgment in the interpretation and communication of rules and regulations and policies and evaluate and interpret basic statistical reports; spreadsheets, etc.
  • Possess the ability to coordinate and plan corporate and social events.
  • A basic understanding of nonprofit development and the donor cultivation cycle is a must.
  • Technical Skills: Advanced level of knowledge of Microsoft Office Suite and familiarity with database structures.
  • A ready-to-learn attitude towards new systems and processes is a must!

Nice To Haves

  • Previous marketing, events and/or communications experience a plus.
  • Knowledge of donor databases and Engaging Networks an asset.

Responsibilities

  • Process and oversee gifts and acknowledgments
  • Responsible for processing all of the department’s gifts.
  • Compile daily gifts report summary.
  • Download and merge acknowledgments and queries.
  • Prepare individualized acknowledgments for review print and sent out.
  • Prepares materials for appeals – quality controls and cleans data, merges letters, prints letters and inserts for mailings.
  • Performs data-entry and updates and corrects donor records as necessary.
  • With the Operations and Communications Specialist and the Mid-Level Manager, prepare and send end-of-year solicitation mailings, January sustainer tax letters and other mailings.
  • Perform data entry and gift processing tasks for other members of the Institutional Advancement team, i.e. grants and foundations and corporate sponsorship, as needed.
  • Donor Customer Service
  • Answer the main email and phone for the major gifts team, treating every donor interaction with care.
  • Contact donors for missing pledge information, and credit card rejects (primarily for donors not in portfolios)
  • Have excellent knowledge of WHYY member benefits, PBS Passport troubleshooting, and other questions/concerns donors may call about.
  • Provide support to the Director of Philanthropy
  • Draft donor proposals and gift reply forms as needed.
  • Conduct donor or prospect research, as needed
  • Organize and maintain paperwork for the Director of Philanthropy including all departmental invoices for payment (AFP’s)
  • Assist WHYY leadership with special projects, as needed.
  • Major Donor Department Events
  • Responsible for assisting and supporting the development team with the creation, planning and execution of all major donor events.
  • Coordinate with other departments such as marketing and engineering on planning of events, as needed, for virtual or in person department events.
  • Create printed or electronic invitations and manage all RSVPs.
  • Create all name tags; coordination with caterers; touch back correspondence following events.
  • Attend almost all donor events and coordinate logistics, tech and talent needs.
  • Distribute and coordinate complimentary ticket offers for donors and team networking events.
  • Annual Lifelong Learning Award Event
  • Assist with administrative aspects of the annual fundraiser.
  • Create and manage the database for the sponsors and ticket holders.
  • Coordinate the mailing of physical and print invitations to donors.
  • Prepare tax acknowledgment letter following event.
  • Administrative and Communications Support
  • Prepare and distribute notes, agendas, minutes, etc., for all fundraising-related meetings.
  • Maintain and keep organized the development department’s electronic and paper files, including the development department calendar.
  • Monitor and order department supplies and stationary.
  • Assist with department reporting.
  • Prepare donor monthly multi-year pledge reminders.
  • Work with WHYY volunteer coordinator for the Major Gift Department’s volunteer requests to assist with mailings and other needs.
  • Prepare monthly TV highlights for donors.
  • Create department- wide donor communications in Engaging Networks such as happy holiday messaging, giving Tuesday, etc.

  • Maintain a regular and predictable attendance.
