Job Description: Duties and Responsibilities The functions listed below are those that represent the majority of the time spent working in this position. Management may assign additional functions related to the type of work of the position as necessary. Ability to lift 30-40 lbs. and retrieve boxes at a maximum of 15 feet. Ability to operate a platform lift, with a maximum of 15 feet, to transfer archive boxes to various locations within the Archives warehouse. Ability to query the Electronic Records Management System (ERMS) to generate reports for specified archive holdings. Maintain accurate chain-of-custody of records within the facility. Ability to retrieve archived boxes from the records storage warehouse using computer-generated pull lists. Enter new archived boxes into the ERMS. Provides high-level customer service; answers a multi-line switchboard by answering incoming calls to the county and transferring calls to the appropriate department, when required. Check the accuracy of data and location information in the tracking system as users input and update information into the county records system. Retrieve archived boxes from approved destruction reports and prepare pallets for transfer to off-site destruction with approval of the Records Management Officer, elected officials, and department heads. Assists in maintaining accurate location and status of each box stored in the warehouse through the current software program being used by the County. Operates a full-sized panel van daily. Maintains a high level of confidentiality, security, and integrity of items while being transported. Pick-up, deliver, and process mail by using an advanced mailing and shipping system designed for high-volume, automated mail processing machine in accordance with USPS standards. Operate a postage machine with minimum errors Communicate with internal and external customers as needed to coordinate services. Ability to stand for long periods of time processing mail. Ability to work as a team member. Performs related work as required. Minimum Education and Experience Requirements: Requires a high school diploma or GED; supplemented by six (6) months of clerical or administrative support experience; or any equivalent combination of education, training, and experience. No lift platform experience needed; training will be provided. Language Skills: Ability to read, write, and speak English. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals, and speak effectively to customers or employees of the organization at all professional levels Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
