About The Position

The Deputy City Clerk serves the public, elected officials, city manager and city departments by providing a variety of services and information. The office of the City Clerk serves as the records manager and liquor license authority for the city. The work is essential and requires alertness, accuracy, versatility and no end of patience. Essential Duties and Responsibilities The following duties are illustrative only and are not intended to be all inclusive: Overall office administration including: performing the duties of City Clerk in his/her absence; coordinating the recording of city documents, publication of legal notices; researching of information as requested by team members and the public per CORA requirements; maintaining and updating the web page for the City Clerk's office; and providing backup support for preparation of City Council agenda and internet posting of agenda packets. Coordinates document shredding with outside vendor. Assists City Clerk in the conducting of elections, initiatives and referendum processes. Process liquor licenses including review of applications for new, transferring, changes of corporation structure, temporary permits, renewals, manager registrations and special events. Routes to police department for background investigation and prepares legal notices, postings and licenses. Prepares agendas/information packets for the Liquor Authority. Attends Liquor Authority meetings, records and prepares minutes, documents and notifies licensee and state of all liquor violations following public hearings; coordinates payment for liquor licensing; maintains and updates liquor license database. Reviews, processes and issues licenses for amusement arcades/centers as set out in the city charter and city code. Coordinate the advertising and filling of vacancies for boards and commissions. Prepare the City Council action form for council decision. Maintain membership list and board member history. Perform related work as required and assigned. Other duties as assigned.

Requirements

  • Modern office practices, procedures and equipment
  • working knowledge of state and local liquor licensing laws and regulations
  • working knowledge of state and federal legislation as needed to perform duties including the Colorado Revised Statutes pertaining to election law and records retention
  • C.O.R.A. and Open Meetings Act
  • English, grammar, punctuation

  • Read, write and verbally communicate at a level appropriate to the duties of the position
  • draft policies and procedures and budget management
  • adept at using all Microsoft Office software applications

  • Diplomacy, communication, and conflict management skills are required
  • Skilled in website editing and page layout software
  • Maintain important records efficiently and accurately and to prepare clear and concise reports
  • establish and maintain effective working relationships with all internal and external customers
  • High school graduation or equivalent
  • Minimum of three (3) years' experience in records management or related experience or any equivalent combination of training and experience that provides evidence that the applicant possesses the required skills and abilities
  • Notary public certification or the ability to obtain within 60 days from the date of hire

Nice To Haves

  • previous experience as a Deputy City Clerk preferred
  • Certification as Certified Municipal Clerk (CMC) preferred
  • Ability to obtain CMC within 36 months
