About The Position

The Deployment Workstream Lead – Administrative Specialist is responsible for leading and managing a key domain—Technical, Clinical/Functional, or Site Deployment—within a large-scale Electronic Health Record (EHR) system implementation. This role drives the planning, execution, and coordination of assigned workstreams, ensuring alignment with program goals, timelines, budgets, and regulatory requirements. Serving as the primary point of contact for the workstream, the Deployment Workstream Lead facilitates collaboration across internal teams, client stakeholders, site leadership, senior management, and vendor partners. The Deployment Workstream Lead oversees all phases of deployment, from pre‑deployment preparation through go-live and post‑deployment optimization, ensuring successful and compliant delivery. This role is remote with 25% travel to nationwide VA sites. Work Visa Sponsorship will not be considered for this position.

Requirements

  • Bachelor’s degree and 5+ years of progressive electronic health records (EHR) support outcome-based functional capability of an assigned workstream across any phase of EHR implementation
  • 3+ years of direct project management and stakeholder engagement experience supporting EHR activities for a software as a service (SaaS) managed EHR solution
  • Proven experience working in a clinical environment supporting project management
  • Proven proficiency with MS Office Suite (Excel, PowerPoint, Project)
  • Strong organizational, communication, and problem-solving skills
  • Must be able to obtain a Position of Trust and successfully pass a thorough Government background screening process requiring the completion of detailed forms and fingerprinting

Nice To Haves

  • Experience with Oracle Health EHR (or similar EHR platforms)
  • Prior experience in large-scale Healthcare IT or EHR deployments
  • Demonstrated expertise within Technical, Clinical/Functional, or Site Deployment workstream domains
  • Familiarity with clinical workflows and healthcare delivery environments
  • Experience supporting client teams within veteran, military, or federal healthcare settings

Responsibilities

  • Deployment Leadership & People Management Provide operational leadership for the assigned workstream, guiding teams through planning, execution, and post-go-live activities.
  • Manage day-to-day workstream operations, ensuring issues are resolved promptly and effectively.
  • Coordinate workstream contributors across technical, functional, and site-based teams.
  • Large-Scale Program Management & Strategic Planning Lead strategic and tactical planning efforts to align workstream activities with the overall deployment roadmap.
  • Identify risks, dependencies, and mitigation strategies to ensure smooth execution across multiple sites.
  • Ensure all activities comply with organizational, regulatory, and security requirements.
  • Stakeholder Management & Executive Communication Serve as the primary point of contact for the workstream, enabling effective communication across diverse stakeholder groups.
  • Provide structured updates to leadership and executive stakeholders on progress, risks, escalations, and metrics.
  • Cultivate trusted relationships with client teams, vendor partners, and internal program areas.
  • Risk & Issue Management Proactively identify, document, escalate, and resolve risks and issues affecting deployment success.
  • Support triage and incident management workflows, forums, and related operational processes.
  • Document and escalate patient safety issues through established channels for timely resolution.
  • Metrics, Reporting & Deliverable Development Prepare and deliver workstream materials including data analyses, dashboards, presentations, and written documentation.
  • Produce metrics and reports that support visibility, decision-making, and continuous improvement.
  • Maintain accurate tracking tools, dashboards, and status reports.
