About The Position

This is moderately complex clerical work involving the processing of a variety of documents, electronic and hardcopy, and a large amount of data entry and typing using various case management systems within the Department of Probation Services – Adult Division. Dauphin County Adult Probation is currently accepting applications for the full time position of Department Clerk 2. The employee in this role is responsible for performing the following essential functions listed below: 1. Maintains control of documents such as records and logs by writing and posting pertinent information about data, individuals, or materials onto the document (electronically or hardcopy) to reflect disposition, amounts, results, production, time, organization, status transaction, or other required details. 2. Maintains files by alphabetical, numerical or chronological order. Retrieves documents, files and updates file and/or document contents. 3. Proofreads typed materials and ensures the transfer of information is grammatically and typographically correct, complete and adheres to Court and Department rules and regulations. 4. Answers client and public inquiries with appropriate information. 5. Relieves other office staff as necessary. 6. Rotates with other office staff in the daily run from the main Probation Office on Gibson Boulevard to the Chestnut Street Office and the Dauphin County Courthouse. 7. Rotates with other office staff to provide phone coverage and rest time for staff during breaks as scheduled. OTHER DUTIES OF JOB: 1. Attends training workshops and seminars. 2. Performs related tasks as necessary. 3. Assists with special projects and reports. SUPERVISION RECEIVED: 1. Receives instruction and supervision from the Office Manager and other members of management in regard to daily work assignments. SUPERVISION GIVEN: 1. This is a non-supervisory position. This is an AFSCME position.

Requirements

  • Completion of a high school diploma or equivalency program.
  • One year of experience as a Department Clerk 1 or other similar work/experience which provide the required knowledge, skills and abilities.
  • Valid class C Driver’s License required and favorable criminal background check required.
  • Must be able to communicate effectively orally and in writing.
  • Must possess initiative and problem solving skills.
  • Must possess ability to function independently, have flexibility, and personal integrity and the ability to work effectively with clients and their families, coworkers, and others.
  • Must possess the ability to maintain confidentiality in regard to adult offender information and records.
  • Must possess the technical knowledge of operating personal computers and various data collection software programs (i.e. excel and access) as well as case management systems, Common Pleas Case Management System (CPCMS) and Unified Case Management system (UCM).
  • Must possess a valid Class C Driver’s License and willingness to travel as needed.
  • Must possess the ability to establish and maintain effective working relationships with staff, other county agencies, outside agencies, and the general public.
