About The Position

A Department Assistant serves as primary liaison between administration and medical staff. Provides administrative support to the Chief of Staff; coordinates credentialing activities, physician applications and privileges for medical staff office. Supervise medical administrative support staff. Develops and maintains reporting database for medical staff, residents and practitioners. The pay range for this position is $22.96 hourly to $34.45/hourly. Compensation is determined based on years of experience and department equity.

Requirements

  • 2+ years administrative experience in an office setting

Responsibilities

  • Collaboratively works with co-Department Assistant to oversee all administrative activities, workflow and division of responsibilities of the Medical Staff department to ensure proper functioning and efficient operation.
  • Provides feedback regarding performance reviews and development of annual objectives and goals for administrative staff.
  • Under the direction of the Chief of Staff, assists in the preparation of annual department budget and reviews for monthly variances.
  • Manages peer review process, practitioner evaluations, data collection and reporting.
  • Answers all phone calls that are routed to the medical staff, triages records, directs or acts on the information appropriately.
  • Helps to maintain open communication between employees and the Chief of Staff by acting as a sounding board and bringing issues to the Chief's attention.
  • Assists in the coordination and completion of SHC orthopedic resident orientation. Acts as liaison between residency program directors and Shriners Hospital.
  • Coordinates flow of communication with the medical staff, research staff and other hospital departments.
  • Provides administrative support to the Chief of Staff, including preparing correspondences, transcription of letters and notes, coordinates meetings with families, doctors and visitors and ensures follow up.
  • Prepares agendas and makes recommendations for monthly Board of Governors Report regarding medical staff policy and process changes.
  • Arranges for all travel plans for the Chief of Staff including transportation, hotels, shuttles, car rentals, and registrations.
  • Participates in meetings as directed, takes minutes and distributes as appropriates.
  • Ensures appropriate cross-coverage support personnel.
  • Maintains and updates pertinent manuals i.e. Medical Staff Policy Manual, Credentialing Manual, Medical Staff Bylaws.
  • Performs all other assigned duties by Chief of Staff or Administrator. This is not an all-inclusive list of this job’s responsibilities. The incumbent may be required to perform other related duties and participate in specialprojects as assigned.
