About The Position

We are thrilled to announce an exciting opportunity for a Denver Site Coordinator to join our dynamic team in Denver, CO! You’ll be the heartbeat of our Denver office—keeping daily operations seamless, supporting our teams, and creating a polished, professional workplace experience. Partnering closely with Facilities and Finance, you’ll ensure the office runs smoothly and employees have what they need to thrive.

Requirements

  • 5+ years of administrative support experience.
  • Ability to work onsite at least 3 days per week.
  • Strong skills in Microsoft Office Suite, Oracle, SharePoint, Concur, Coupa, Zoom, and Slack.
  • Proven ability to handle confidential information with professionalism.
  • Meticulous attention to detail and ability to adapt quickly.
  • Strong communication skills and comfort interacting with employees at all levels, including senior leaders and executives.
  • Experience working cross-functionally with multiple departments
  • Reliable personal transportation.
  • Curiosity and eagerness to learn new systems and skills
  • Flexibility and strong communication habits
  • Ability to identify priorities and own tasks through completion
  • Willingness to obtain notary certification if needed.

Nice To Haves

  • Previous office manager or administrative assistant experience is preferred.

Responsibilities

  • Maintain clean, organized, fully stocked common areas (conference rooms, kitchenettes, breakroom, restrooms).
  • Oversee off-site records storage with Iron Mountain.
  • Submit and track work orders and purchase orders.
  • Support shipping/receiving, mailroom operations, and visitor/contractor check-ins.
  • Maintain and manage company-issued P-Card.
  • Purchase supplies, snacks, beverages, and meals using the company Purchase Card (P-Card).
  • Coordinate on-site and off-site meetings, catering, and virtual/hybrid sessions.
  • Support space planning, seat assignments, staff moves, and Condeco administration.
  • Manage the Denver office budget, invoicing, PO’s, and potential similar support for other locations to support the broader facilities team
  • Plan and deliver team events (lunches, conferences, happy hours, social gatherings, holiday events).
  • Serve as a notary.
  • Handle Personally Identifiable Information (PII) and other sensitive, confidential information.
  • Sort and process high volumes of incoming U.S. Finance mail.
  • Manage customer bankruptcy notices and update internal systems accordingly.
  • Record, process, and deposit business checks (in person and remotely).
  • Serve as a notary.
