GENERAL SUMMARY OF DUTIES: Responsible for performing administrative functions for the dental department, including billing and insurance tasks, treatment plan discussions, answering patient questions in regard to finances and scheduling appointments.

Requirements

  • High school diploma or GED.
  • Minimum of one year experience in a dental office setting.
  • Knowledge of dental terminology, procedures and diagnoses required.
  • Knowledge of computer and relevant software applications as well as working knowledge of dental insurance required.
  • Plan and organize.
  • Operate a variety of office equipment.
  • Evaluate the effectiveness of existing methods and procedures; develop and analyze possible revisions.
  • Set priorities among multiple requests.
  • Interact with patients, clinical and administrative staff, and public effectively.
  • Communicate clearly and effectively in person, in writing, or by phone.
  • Comply with established policies and procedures.
  • Plan and perform diversified duties requiring knowledge of patient relations and health information management fields.
  • Computer literate with proficiency in Microsoft Office applications.
  • Basic financial skills, as well as analytical skills for trend and situational analysis desired.
  • Interact effectively with people of varied educational, socioeconomic and ethnic backgrounds, skill levels and value systems; work with frequent interruptions; be a team player.

Nice To Haves

  • Experience with NEDD, Medicaid and Dentaquest preferred.
  • Experience with Dentrix Enterprise preferred.

Responsibilities

  • Communicates effectively and clearly; works effectively with co-workers as a team member and performs duties as assigned by Dental Care Manager and Dental Director.
  • Verifies necessary information and records in the medical record and dental record.
  • Presents and reviews treatment plan finances with patients.
  • Provides and reviews necessary documentation.
  • Answers questions regarding patient appointments, billing, insurance and treatment plans.
  • Adds notes to appointments to guide check-in process.
  • Completes check-out for patients needing a treatment plan review.
  • Collects patient payments at the time of service.
  • Answers dental telephone calls and provides information as needed in regard to treatment plans, insurance, billing, etc.
  • Deals with patients’ needs expeditiously.
  • Verifies insurance and enters information and breakdowns into dental chart at least one week prior to scheduled dental visits.
  • Identifies outstanding balances and communicates with Dental Billing Coordinator.
  • Manages and tracks pre-authorizations.
  • Provides coverage of essential functions for Dental Scheduling Coordinator during their absence.
  • Complies with federal HIPAA regulations and practice policies for the privacy and security of patient information; explains the law and our privacy policy to patients as needed; maintains appropriate documentation of access to medical records.
  • Attends meetings as required.
  • Performs other duties as assigned.
