JOB SUMMARY The Dental Insurance Coordinator plays a critical role in ensuring timely reimbursement, reducing insurance denials, and supporting a clear financial experience for dental patients. This position is responsible for insurance verification, prior authorizations, coordination of benefits, and proactive resolution of insurance-related issues in collaboration with internal teams and third-party billing partners.

Requirements

  • High school diploma or equivalent required.
  • Minimum of 2 years of dental insurance, billing, or revenue cycle experience preferred.
  • Experience with Medicaid and PPO dental plans is strongly preferred.
  • Experience using electronic health record systems (eClinicalWorks preferred).
  • Strong understanding of dental insurance processes, prior authorizations, and coordination of benefits.
  • Ability to manage multiple insurance cases simultaneously with accuracy and attention to detail.
  • Effective written and verbal communication skills with patients, staff, and insurance representatives.
  • Strong problem-solving skills with the ability to independently resolve insurance-related issues.
  • Proficiency with EHR systems, insurance portals, and standard office software.
  • Ability to meet deadlines and work effectively in a fast-paced clinical environment.
  • Commitment to patient confidentiality and HIPAA compliance.

Responsibilities

  • Verify dental insurance eligibility, benefits, and coordination of benefits prior to services.
  • Secure and track prior authorizations for dental procedures.
  • Communicate insurance coverage, limitations, and patient responsibility clearly to patients and staff.
  • Prepare and review treatment estimates and assist with setting up dental payment plans.
  • Actively investigate, track, and resolve insurance denials, underpayments, and returned claims in collaboration with Coronis.
  • Identify trends in denials or coverage issues and escalate recurring concerns to leadership.
  • Serve as a liaison between insurance carriers, patients, clinic staff, and third-party billing vendors.
  • Ensure insurance documentation (authorizations, eligibility proof, x-rays, correspondence) is uploaded accurately and timely into the EHR.
  • Maintain compliance with payer requirements, billing timelines, and internal workflows.
  • Provide limited front desk coverage during unexpected staffing shortages, as needed.
  • Travel between dental clinic locations or administrative offices as required.
  • Perform other related duties as assigned.
