About The Position

The Dental Hygiene Clinic at Ivy Tech Community College is seeking a reliable and organized Receptionist to support the operation of our student-led dental hygiene clinic. This role serves as the first point of contact for patients and plays a key role in maintaining efficient clinic operations. The ideal candidate will be comfortable working in an educational environment, collaborating with faculty, students, and community members, while supporting compliance with infection prevention and public health standards.

Requirements

  • Previous administrative experience in a healthcare, dental, or educational setting preferred.
  • Experience with clinic scheduling software and compliance tracking tools; GreenLight Dental and Eaglesoft experience is a plus.
  • Strong interpersonal, communication, and organizational skills.
  • Proficiency in Microsoft Office Suite (Excel, Word, Teams) and general office technology(Outlook, MyIvy, Workday).
  • Ability to work collaboratively with students, faculty, and patients in a diverse, inclusive setting.
  • Familiarity with infection prevention protocols and public health guidelines.

Responsibilities

  • Welcome patients, visitors, and students in a courteous and professional manner.
  • Manage clinic appointment scheduling, confirmations, cancellations, and waitlists using electronic systems.
  • Maintain and update patient files in compliance with privacy regulations (e.g., PHIPA, HIPAA).
  • Respond to inquiries in person, by phone, and via email, providing information about clinic services and policies.
  • Assist with check-in/check-out procedures, patient forms, and fee collection (following procedure for handling end-of-day reports and submission to bursar).
  • Order and track dental and office supplies in coordination with the clinic coordinator and instructional staff.
  • Organize, stock, and maintain supplies in designated storage and treatment areas.
  • Assist in daily upkeep of reception and common areas to ensure a clean, safe, and professional environment.
  • Monitor and document infection prevention protocols using GreenLight Dental Compliance Center.
  • Collaborate with faculty and students to ensure protocols are followed in line with public health guidelines and program standards.
  • Support clinic readiness for audits or inspections by maintaining accurate compliance records.
  • Communicate effectively with dental hygiene students and faculty to support smooth clinic operations.
  • Contribute to a supportive learning environment that emphasizes professionalism and patient-centered care.
