About The Position

Yanmar America is seeking a Dealer Support Specialist to provide day-to-day operational support to our Dealer Network and Dealer Sales Representatives. This is a hands-on, hourly support role focused on the accurate processing, quality review, and coordination of floorplan and retail loan applications, from submission through funding and handoff to a 3rd party servicer. This position reports to the Business Support Manager and follows established procedures, timelines, and compliance standards to support a smooth and consistent dealer experience. The Dealer Support Specialist provides operational and administrative support for the processing of dealer loan applications. This role is responsible for reviewing documentation, responding to dealer and sales inquiries, performing quality control checks prior to funding, and coordinating the transfer of funded loan data to the 3rd party servicer. This is a detail-focused, execution-oriented role that requires strong organization, accuracy, and customer service skills in a high-volume, deadline-driven environment.

Requirements

  • Experience in financial services operations, preferably in wholesale/floorplan or retail loan processing/servicing
  • Strong customer service skills with clear, professional written and verbal communication
  • High attention to detail and ability to perform consistent quality checks on loan documentation
  • Proficiency using Loan Origination Systems (LOS), CRM tools, and electronic document management systems
  • Strong organization and time-management skills in a high-volume, deadline-driven environment
  • Ability to follow established procedures and work independently within defined guidelines
  • Solid problem-solving skills and a strong sense of accountability
  • Bachelor’s degree in Business, Finance, or a related field preferred
  • 3+ years of experience in loan processing, wholesale/floorplan operations, or servicing support within a financial institution or finance company
  • Experience with loan documentation review, funding preparation, and data transfer/hand-off procedures

Nice To Haves

  • Familiarity with dealer management systems (DMS) and dealer application portals is a plus

Responsibilities

  • Respond to dealer and sales representative inquiries regarding loan application status, process questions, portal navigation, and documentation requirements for floorplan and retail loans. Provide clear, timely updates and follow defined escalation procedures when needed.
  • Review loan application packages and supporting documentation in the Loan Origination System (LOS) prior to funding. Verify completeness, accuracy, and compliance with credit stipulations and regulatory requirements. Identify and correct documentation issues prior to funding to reduce post-funding errors.
  • Prepare and execute the transfer of funded loan data and documentation to the 3rd party servicer (via API/Batch), following established procedures. Confirm that required data and documents are complete and properly transmitted.
  • Assist with resolving initial post-funding data discrepancies with the 3rd party servicer. Track and escalate servicing issues impacting dealer accounts to the Business Support Manager.
  • Follow defined YAF operational processes, policies, and compliance standards. Support consistent application of these standards across all dealer transactions.
  • Maintain and update internal dealer support and operational documentation as assigned. Assist with organizing training materials and process updates.
  • Provide timely operational support to Dealer Sales Representatives to help resolve dealer issues and support sales activity.
