About The Position

The Database & Events Associate plays a key role in supporting the organization’s mission by maintaining accurate donor and program data while assisting in the coordination of fundraising and community events. This position requires strong attention to detail, comfort working with numbers, and the ability to manage multiple priorities. The ideal candidate is adaptable, collaborative, and eager to learn in a fast-paced nonprofit environment. Regular and timely attendance is required.

Requirements

  • Strong numerical aptitude and high level of accuracy in data management
  • Excellent interpersonal and communication skills, with a customer-service mindset
  • Highly organized with the ability to manage multiple tasks and deadlines
  • Flexible and adaptable, with a willingness to learn new systems and processes
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook); experience with donor databases or CRM systems is a plus
  • Previous administrative, data entry, or event coordination experience preferred
  • Currently pursuing or recently completed a degree in Communications, English, Business, or a related field
  • Must successfully pass a comprehensive background check

Responsibilities

  • Maintain and update donor and organizational databases, ensuring accuracy, consistency, and confidentiality
  • Perform data entry and regular data audits to ensure integrity
  • Generate reports and assist with tracking donations, pledges, and engagement metrics
  • Record incoming donations, send acknowledgment letters, and coordinate with accounting to ensure accurate reporting
  • Assist with planning and execution of fundraising and community events
  • Coordinate logistics including scheduling, materials, and vendor communication
  • Support event setup, on-site coordination, and breakdown as needed
  • Manage event registrations, guest lists, and attendee communications
  • Assist with post-event follow-up and reporting
  • Provide general administrative support including document preparation, filing, and correspondence
  • Assist with tracking event budgets, expenses, and related documentation
  • Support day-to-day office operations as needed
  • Communicate professionally with donors, volunteers, vendors, and internal staff
  • Provide responsive and courteous support to stakeholders
  • Collaborate across departments to support organizational initiatives
  • Adapt to shifting priorities and support various organizational needs
  • Demonstrate flexibility and willingness to take on new responsibilities
  • Maintain a high level of professionalism, organization, and attention to detail
