About The Position

The Database Access Specialist position provides administrative assistance to the Acquisitions Department Head, supports various department projects, troubleshoots patron access problems, and supervises 6-8 student employees. What you will be doing in this position: Supervision and Training Hire, train, schedule, supervise, and evaluate student employees. Implement experiential learning principles that prepare students to grow in their positions and become Christ centered leaders. Plan weekly training meetings that support student belonging and inspiring learning. Coordinate with department leadership to deploy student employees to projects needing assistance, such as in processing and withdrawing library materials. Direct students through triaging patron access problems to determine the cause of the problem which can often be complex and multi-layered. Data Management and Reporting Work closely with Department Head to provide data relevant to improved decision making for library collections and acquisitions. Collect data for department reports and draft documents such as the department annual report. Collect data and update reports focused on the overall library collection, subject librarian collections and acquisitions, and emerging trends in library acquisitions. Organize and maintain department electronic and print files and inventory. Administrative Support Participates as a key member of the department management team in setting vision and strategy. Works with the Department Head to organize and take minutes at department meetings and events. Manage departmental budgets and financial transactions, including processing payments and reconciling expenses. Oversee multiple details of daily operations such as liaising with custodial and facilities personnel and maintaining secured access for employees, including breakroom card access, software passwords, and locker assignment. Facilitates communication within and outside the department. Database Access Provide database access assistance for complex patron questions that require investigation or patron training. Correct locally caused issues and refer vendor caused issues to appropriate specialist. Ensure that high levels of customer service are met including satisfactory resolution of incidents, response time, and resolution time. Provide training on the use of library databases to other library departments, reference desks, or to patrons via library instruction as requested. Professional Development & Citizenship Maintain personal competency on the various subject databases and student/faculty resources; attend training meetings for databases and software. Represents the Acquisitions Department on appropriate committees, such as the Department Assistants Committee (DAC). Attend department, library, and University meetings required for this position. Attend relevant conferences and workshops as funding is available. Participate in other position related professional development activities such as professional reading, publications, and presentations.

Requirements

  • Bachelor’s degree or a combination of equivalent education and experience
  • Experience navigating and in-depth use of BYU's library database system
  • One year library work experience
  • One year supervisory experience
  • Interpersonal Skills (required)
  • Ability to work and communicate effectively with members of the department, student assistants, other library faculty and staff, and patrons.
  • Excellent customer-service skills (for both internal and external patrons).
  • Work Skills (required)
  • Ability to track and make progress on multiple projects.
  • Attention to detail and ability to organize.
  • Ability to independently identify and solve problems.
  • Ability to successfully work in formal and informal teams.
  • Ability to effectively supervise student employees working in several different roles.
  • Computer Skills (required)
  • In-depth understanding and use of BYU's library database system.
  • Basic knowledge of Microsoft Office (Word, Excel, PowerPoint).
  • Ability to keep current on issues affecting hardware and software in the department.
  • Ability to learn new programs.
  • Proficiency in searching the internet, library databases, and other online resources.
