About The Position

The Data Systems Manager is responsible for the growth, maintenance, and improvement of the agency's Efforts to Outcomes (ETO) client database and its integration with other HRM databases. The Manager will ensure data quality, database functionality, and staff training to assure the agency's ability to report on a wide range of agency metrics to external and internal audiences. The Data Systems Manager will provide technical assistance and training to all House of Ruth staff/programs.

Requirements

  • Bachelor's degree in data science or related field and/or five years of client database management experience demonstrating increased responsibility required.
  • Intermediate EXCEL skills required.
  • Must be proficient in accurate data entry and troubleshooting, and have general proficiency with other computer software programs (MS Word, internet, e-mail, etc.).
  • Must have the ability to understand database components and structure to create and run queries and to help others define reporting criteria.
  • Familiar with outcomes measurement and basic research methods.
  • Must have good verbal and written communication skills and have the ability to work independently and within a team.
  • Individual must be self-directed, detail-oriented, organized, have the ability to juggle multiple projects, demonstrate excellent customer service skills, and have an understanding and sensitivity to intimate partner violence issues.
  • Demonstrated ability to provide leadership that enables staff to meet goals consistently.
  • Ability to pass a criminal background check.
  • Remote work eligible' will need to attend in-office functions and meetings when assigned.

Nice To Haves

  • Two years of supervisory experience preferred. Experience with Efforts to Outcomes (ETO) software and SAP's Web Intelligence suite (Business Objects) or SQL preferred.

Responsibilities

  • Oversees all aspects of the House of Ruth client database to ensure accurate reporting of agency staff efforts, program performance, and client outcomes.
  • Supervises and supports the Database Analysts to ensure quality data entry and to meet reporting deadlines. Directs workflow and helps Data Analysts to troubleshoot data issues. Reviews reports created to ensure the accuracy of data.
  • Completes routine error checking, merges duplicate client information records. Creates and runs monthly, quarterly, and annual reports on performance indicators to meet agency and grant-specific reporting needs and deadlines.
  • Designs and programs reporting systems and reports to provide useful, timely, accurate information for internal and external audiences.
  • Stays up-to-date with changes in vendor software. Responsible for translating and incorporating changes as they apply to HRM's database construct. Builds, tests, and incorporates changes into reports, training materials, and internal system documentation.
  • Oversees staff training on the use of the client database. Creates materials, tools, and customized training presentations for agency-wide, department and individual staff training. Conducts in-person and online training. Ensures training for all users in new product features introduced by the software vendor, including how these features are incorporated into the client database.
  • Oversees agency-wide security access to the system. Activates and deletes users from the system.
  • Acts as and/or supervises the point of contact for all agency staff for database performance issues and problems. Troubleshoots problems at the individual user and agency levels. Acts as liaison with ETO software customer support to resolve individual and system-wide issues. Acts as the contact person for database-related errors.
  • Works with data systems staff to incorporate automation into the workflow to increase efficiency in data entry and reporting.
  • Maintain positive relationships with agency directors, grant project managers, and agency staff to create effective data capture and reporting tools to reflect agency, program, and grant-specific reporting needs. Works closely with key program staff to analyze and interpret data to identify service trends and gaps to inform improvement of services to clients. Creates and runs ad hoc reports to answer specific service delivery questions.
  • Data management and reporting, including the establishment, implementation, and management of key systems and processes to incorporate consistent reporting of data related to grants and organizational services (financial and non-financial, service metrics, client interactions, impact data). Includes continued documentation and implementation of Measuring Success.
