About The Position

The Data Management Assistant supports the Data Integrity & Analytics (DIA) department by conducting research, gathering data, writing reports and summaries, distributing information, providing recommendations for process improvements, communicating and collaborating with Branch staff, and providing administrative support to the DIA management team. This position would be part of the DIA team that supports the Adult Probation Department. The Data Integrity and Analytics (DIA) department objectively and creatively communicates data analytics in a straightforward manner, supports policy and decision-making by assessing probation case management elements, juvenile diversion programs, resource and staffing needs, fairness and access to justice for the public, and other data driven needs. This department helps the Judicial Branch enhance services, promote trust, and govern its own affairs. The Data Integrity & Analytics Department uses resourcefulness and data analytics to measure and help improve the process, results, efficiency, quality, effectiveness, program outcomes, policy outcomes and outputs of the Judicial Branch every day.

Requirements

  • Associate degree in Behavioral Sciences, Statistics, Business, Public Administration, Political Science, Justice Studies, Criminal Justice, Intelligence Studies, or a related field
  • Two (2) years of administrative experience collecting data, analyzing data and creating reports
  • Knowledge of: Data collection and analysis principles, including a strong grasp of mathematical principles like averages and percentages.
  • The structure and content of the English language including the meaning and spelling of words, rules of composition and grammar.
  • Skill in: Microsoft Word, Microsoft Outlook, Excel and PowerPoint.
  • Communicating verbally and in writing with others to convey information professionally and effectively.
  • Establishing and maintaining constructive and cooperative working relationships with individuals within all levels of the organization and with stakeholders.
  • Identifying problems, reviewing related information and recommending solutions.
  • Proofreading with exceptional attention to detail.
  • Ability to: Work independently and collectively with colleagues
  • Maintain a thorough understanding of the Unit’s role in supporting the Judicial Branch’s Mission, Vision and Values.
  • Utilize initiative and independent judgment while receiving occasional instruction or assistance as new or unique situations/projects arise.
  • Maintain high levels of professionalism, confidentiality and cultural sensitivity in all interactions.
  • Analyze, interpret, and apply complex information.
  • Think critically about the interpretation of data.
  • Accurately prepare and maintain records, files and reports.
  • Prioritize, organize, plan and manage multiple assignments efficiently and effectively with an emphasis on attention to detail.
  • Learn and master core business and support applications.
  • Process and handle confidential information with discretion.
  • Learn new skills necessary to support the needs and the mission of the Department and Court.
  • Understand basic file layouts.

Responsibilities

  • Collects compiles, analyzes, reports and distributes monthly statistical information and reports to various Court departments and the Administrative Office of the Courts.
  • Reviews data quality to ensure accuracy.
  • Assists in conducting research and surveys.
  • Compiles data, writes, and edits reports and summaries.
  • Provides responsible administrative support to the unit and maintains detailed instructions of processes.
  • Evaluates, processes, and makes recommendations for improvements.
  • Assists with researching background information for data requests; researching documents; compiling statistical data; gathering, summarizing, and analyzing information.
  • Work within databases and spreadsheets, including performing data entry and retrieval as needed.
  • Delivers seamless customer service and recognizes the need for the professional handling of all matters.
