About The Position

KLEO Community Family Life Center (KLEO) is seeking a detail-oriented Data Entry Coordinator. This specialized role provides critical digital infrastructure and reporting support for all initiatives under KLEO’s Workforce Development Programs, including the TradeUP Pre-Apprenticeship Program. The Coordinator is responsible for maintaining the digital integrity of all performance data and ensuring that program milestones—such as the attainment of NCCER Core and OSHA 10-Hour certifications—are reported accurately and on time within the Illinois Works Reporting System (IWRS). The selected individual ensures that all data protocols align strictly with the Illinois Works Jobs Program Act and will uphold the mission and vision of KLEO while supporting excellence and growth for all program initiatives.

Requirements

  • Advanced proficiency in Excel and data management systems.
  • A minimum of 2–3 years of experience in state-funded workforce programs (e.g., WIOA or Illinois Works) preferred.
  • Proficiency in the Illinois Works Reporting System (IWRS) or similar Smartsheets-based tracking technology preferred.
  • Excellent oral and written communication skills.
  • Ability to work effectively within a multidisciplinary team of professionals.
  • Collaborative and team oriented.
  • Demonstrates strong problem-solving, communication, and leadership skills.
  • Excellent organizational skills, ability to manage multiple tasks and meticulous attention to detail.
  • Computer literacy required (MS Word, MS Excel, MS PowerPoint, MS Project, and data management environments).
  • Willing to travel to support program activities (Approximately 10%).

Nice To Haves

  • Associate’s degree or above in Information Systems, Business, or a related field preferred.
  • Microsoft Office Specialist (MOS) certification or documented expert proficiency in Excel and data management systems preferred.

Responsibilities

  • Manage the accurate entry of all participants and program data into the Illinois Works Reporting System (IWRS) and coordinate with other staff members to gather necessary data points for timely reporting.
  • Cross-check source documents (e.g., applications, attendance logs) against digital entries to ensure data accuracy.
  • Follow strict data protocols to meet state security and confidentiality standards.
  • Performance of other duties as needed or assigned.
