About The Position

The primary purpose of the Data Control Clerk II position is to perform answer and route incoming calls to the hospital's main number, emergency lines and patient information lines. Demonstrates service excellence by providing accurate information regarding the Hospital, its patients and staff while ensuring adherence to all Hospital policies and procedures, especially those regarding privacy and confidentiality. Assists in maintaining up-to-date computerized databases and on-call schedules in a timely fashion. Responsible for dispatching services to respond to callers and entering data into the Work Ticket Management system. Receives and activates routine and emergency notification requests, such as overhead paging announcements, activation of pagers, and initiation of emergency codes. Identifies and summarizes key issues and data trends.

Requirements

  • High School Diploma or GED Certification required.
  • Two (2) years of clerical/data entry experience, preferably in a customer service-oriented setting.
  • Detail oriented with excellent telephone etiquette required.
  • Must be a team player with strong time and stress management skills.
  • Strong problem solving and conflict de-escalation skill.
  • Excellent communication and interpersonal skills a must.
  • Knowledge of personal computer applications required.
  • Additional customer service experience may be substituted for clerical experience at management’s discretion.

Nice To Haves

  • Portuguese speaking preferred.

Responsibilities

  • Answers incoming calls on main number and patient information calls in a timely manner and in accordance with departmental policy; enters data into the department’s work order system (TMS).
  • Plays a central role in activation of emergency codes that include code blue, ERT, CRT, Code Black, Infant Abduction system, Bat Team, Active Shooter, Code Triage internal/external, Code Dr. Band-Aid and Pediatric Code Blue and other medical or operational codes. Communicate effectively during emergencies using primary and backup systems.
  • Monitors all emergency devices and alarm systems and notifies the appropriate personnel when activated. Documents accurately and timely utilizing the appropriate logbooks/sheets and incident reports for all Emergency alarms. Responsible for always maintaining contact with Engineering and/or Security department. Notifies EVS/Biomed/Access Control or Engineering of any issues and concerns.
  • Dispatches appropriate service to respond to caller’s needs by gathering information, determining, and assessing the correct type of code, executing overhead announcements, sending list pages accurately (Spok), confirming response team arrivals and creating banner alerts.
  • Provides overhead paging for emergencies, physicians, administration, and other announcements as needed.
  • Performs other related duties as assigned.
