The Customer & Supply Chain Coordinator is responsible for managing the full lifecycle of manufacturing jobs — from estimating and quoting through production, delivery, invoicing, and payment. This role bridges communication between customers, vendors, and internal teams, ensuring alignment on job priorities, shop capacity, and material availability. The position plays a critical role in maintaining data integrity across ERP systems (such as ProShop and NetSuite), coordinating procurement, and facilitating smooth operational execution. We are a fast-paced, mission-driven team tackling some of the hardest problems in aerospace. Success at Vaya requires personal leadership, strong technical skills, and meticulous attention to detail. Requirements

  • 2–5 years of experience in a machine shop, manufacturing, or technical customer service or operations coordination role.
  • Comfortable reading basic prints and understanding machining terminology (mils, tolerances, materials, etc.).
  • Familiarity with quoting, work orders, and ERP systems.
  • Strong organizational skills and the ability to manage shifting priorities.
  • Excellent written and verbal communication skills.
  • To comply with U.S. export regulations, such as the International Traffic in Arms Regulations and the Export Administration Regulations you must (a) be a “U.S. Person” as defined under those regulations, which includes U.S. citizens, U.S. nationals, lawful permanent residents of the U.S., and protected individual as defined by 8 U.S.C. 1324b(a)(3), or (b) otherwise be eligible to obtain the required authorizations from the U.S. Department of State or U.S. Department of Commerce, as appropriate.

Responsibilities

  • Oversee the entire job process from estimation through delivery and final invoicing
  • Ensure accurate job setup, routing, and tracking in ProShop, NetSuite, and other systems
  • Maintain and update Master Job Lists and tracking tools across platforms
  • Drive timely job progression and proactively resolve delays or blockers
  • Serve as primary point of contact for customers regarding job status, issues, and expectations
  • Communicate job details, due dates, and special requirements with internal teams
  • Align customer priorities with actual machine shop capacity and schedule adjustments
  • Manage updates to customers regarding lead times, changes, or disruptions
  • Manage purchasing of raw materials, tooling, hardware, and consumables
  • Interface with vendors to confirm delivery dates, resolve issues, and negotiate terms
  • Track supply chain performance and communicate potential material constraints to relevant stakeholders
  • Ensure procurement aligns with production schedules and customer delivery dates
  • Coordinate with production, machining, and quality teams to maintain alignment on job priorities
  • Facilitate shop floor awareness of incoming changes, new revisions, and special job instructions
  • Communicate real-time job status, capacity changes, or escalations to relevant departments
  • Support shop floor meetings and ensure project updates are shared across teams
  • Maintain accurate job and purchasing data in ERP systems (ProShop, NetSuite) and SharePoint
  • Collaborate with internal stakeholders to improve process flow and system use
  • Monitor and ensure data consistency across systems and job documentation
  • Help identify and fix inefficiencies in the quoting and order process.
  • Suggest improvements to ERP workflows or job tracking practices.
  • Assist in documenting SOPs as needed.
  • Perform other duties as needed.
