About The Position

The Customer Service Specialist is responsible for supporting customer shipping operations and ensuring smooth order processing. This role works closely with vendor shipping locations and prospects to schedule shipments, create orders, run reports, and perform administrative tasks that contribute to an exceptional customer experience.

Requirements

  • High school diploma or equivalent; Associate’s or Bachelor’s degree preferred.
  • 2+ years of experience in customer service, logistics, or order management.
  • Strong organizational skills and attention to detail.
  • Excellent communication and problem-solving abilities.
  • Proficiency in Microsoft Office and experience with ERP or order management systems.
  • Customer-focused mindset with a commitment to service excellence.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong data entry and reporting skills.

Responsibilities

  • Communicate with customer shipping locations to schedule and confirm shipments.
  • Ensure timely and accurate delivery schedules in alignment with customer requirements.
  • Create and process customer orders in the system.
  • Monitor order status and proactively resolve any issues to ensure successful fulfillment.
  • Generate and maintain reports related to shipments, order status, and performance metrics.
  • Perform administrative tasks to support account and operational efficiency.
  • Respond promptly to customer or vendor inquiries and requests.
  • Collaborate with internal teams (Billing, Operations, Account Management) to resolve issues and maintain service standards.
  • Maintaining account turnovers, process flows, work instructions and communication to contacts both internal and external when away from the office.
  • Facilitate monthly reviews for internal stakeholders, covering performance and key service KPIs.
  • Maintenance in the CRM for assigned Vendors – Ensuring the CRM is updated with key information. This includes contacts. Integration types, service failures
