The Customer Service Specialist is responsible for managing project business by placing orders, tracking shipments, and billing the customer correctly. The Project Manager owns the relationship with the customer, manages relationships with sales and vendors, and is responsible for maintaining clear and timely communication throughout the project. This role involves managing all aspects of low profile/complex projects, communicating with customers, expediting OS&Ds (over, short & damaged), and resolving customer issues promptly. The specialist will also read through all Purchase Orders to understand requirements and ensure terms and conditions are correct, work with sales and vendors to obtain additional margin when possible, and coordinate with vendors, customers, and sales teams on pricing, order placement, claims, returned goods, and account management to meet customer expectations. Further responsibilities include expediting backorders to maximize fill rates and customer satisfaction, managing delivery schedules, product quality, information updates, and back charges. The role receives day-to-day requests from projects and large packages from the Quotation team, provides timely price quotations, requotes, and/or proposals with leadership assistance, and works with leadership to determine vendors and purchase requirements for pricing advantages and product substitution opportunities to improve project profitability. Coordination with the project team for documentation requirements such as O&M manuals, Test Reports, submittal packages, and Certificates of Compliance is also part of the role, along with performing other assigned duties.
