About The Position

Barlean’s is a privately owned nutritional supplements brand based in Ferndale, Washington. We’re looking for a Customer Service Representative who loves helping people, communicates clearly, and enjoys working with a collaborative team to support both our consumers and retail partners. The Customer Service Representative is a key point of contact for customers and retailers, delivering friendly, accurate support via phone, email, and chat. This role also supports internal teams with order processing, account maintenance, and administrative tasks. Success in this role looks like timely responses, thorough documentation, attention to detail, and consistent follow-through.

Requirements

  • 2+ years of customer service experience.
  • Strong written and verbal communication skills; professional phone presence.
  • Proficiency with Windows and Microsoft Office (Teams, Outlook, Excel).
  • Customer-first mindset with strong active listening and problem-solving skills.
  • Ability to multitask, prioritize, and manage time in an office environment.
  • Professional, positive demeanor; empathy, emotional intelligence, and a sense of humor.

Nice To Haves

  • Experience, education, or interest in nutritional supplements / health and wellness.
  • Experience with EDI and ERP systems (e.g., SageX3, NetSuite, SAP etc.).
  • Experience with ticketing/CRM tools (e.g., Freshdesk/Zendesk)
  • Experience with Shopify or similar ecommerce platforms

Responsibilities

  • Respond to customer and retailer inquiries via phone, email, and chat; provide accurate information and solutions.
  • Support customers with product questions using approved information (ingredients, label details, usage directions, and company guidelines).
  • Process consumer and retailer orders; review for accuracy and resolve discrepancies.
  • Create and maintain customer/retailer accounts and update records accurately.
  • Handle complaints with empathy and professionalism; document issues and follow up to ensure resolution.
  • Create small-parcel shipments as needed and troubleshoot delivery issues.
  • Collaborate with internal teams (e.g., Sales, Warehouse, QA) to resolve order, account, and product-related concerns.
  • Use internal systems to log interactions, document outcomes, and maintain organized records.
  • Ensure compliance with all GMP’s, GDP’s, Barlean’s SOP’s, and SQF regulations.
