About The Position

Maintains a productive office environment by keeping the supplies ordered, office machines operating properly, answering phones and directing callers to the proper individuals, answering questions, maintaining files and preparing reports for internal and corporate needs.

  • High School Graduate or equivalent
  • Three years administrative and/or hydraulic experience or equivalent, hands on customer service or mechanical experience in hydraulics or related field
  • Must be proficient in Microsoft Word, Excel, and Outlook

Responsibilities

  • Receives requests for quotes, orders and lead times from customers.
  • Makes quotations on standard items, writes orders, and relays pertinent information to customers.
  • Coordinates with vendors as well as other internal departments in handling purchase orders and providing service to customers. Additionally assists with shipping and receiving as needed.
  • Maintain branch records.
  • Services both phone and walk-in customers.
  • Check customer and vendor information, stock status information, and order entry.
  • Assists outside sales reps as needed and assigned.
  • Works with Credit Department.
  • Assists in managing inventory.
  • Communicates with vendors, corporate and other branch offices.
  • Resolves customer complaints within their authority range..
  • Assists with shipping and receiving.
  • Orders office supplies and supports general manager/operations manager as needed.
  • Provides leads to outside sales reps.
  • Quotes both components and repairs.
  • Identifies leads.
  • Performs a variety of administrative functions; schedules appointments, gives information to callers, and distributes mail.
  • Composes memos, research and creates presentations, generate reports, and handle multiple projects.
  • Sets priorities and procedures for accomplishing work.
  • Responds independently to routine correspondence for manager. Maintains confidentiality and recommends solutions or actions required.
  • Makes travel arrangements and prepares itineraries.
  • ISO Coordinator responsibilities as assigned.
  • Back-up to answer telephones.
  • Assists with all invoicing.
  • Assists in branch inventory, shipping and receiving.
  • Maintains files, freight bills and petty cash.
