Requirements

  • Previous experience in the field as a Veterinary Customer Service Representative, Veterinary Receptionist, or Veterinary Assistant (required)
  • Ability to multitask and stay calm in a fast-paced, high-volume clinic environment
  • Strong verbal and written communication skills
  • Excellent customer service and conflict-resolution skills
  • Familiarity with veterinary terminology and appointment types
  • Proficiency with computers and veterinary PIMS (e.g., Avimark, Woofware, Cornerstone, eVet, etc.)

Nice To Haves

  • Experience in a multi-doctor or emergency/high-volume clinic
  • Knowledge of basic veterinary workflows and procedures
  • Bilingual skills a plus

Responsibilities

  • Greet clients and patients in a professional, friendly, and efficient manner
  • Manage a high volume of incoming phone calls, emails, and in-person inquiries
  • Schedule appointments accurately and efficiently using veterinary practice management software
  • Verify client and patient information, update medical records, and process payments
  • Communicate clearly with veterinarians and technicians to ensure smooth patient flow
  • Handle client concerns with empathy, professionalism, and appropriate escalation when needed
  • Maintain a clean, organized front desk and lobby area
  • Follow clinic protocols regarding medical records, confidentiality, and safety
