Purpose: Supply assistance to our Customer Service Representatives by providing support in preparing correspondence and assisting in customer orders and inventory tracking. Provide additional support for directing incoming calls to correct personnel and welcome guests and clients. Reports to: Customer Service Manager Essential Duties & Responsibilities: Coordinate and perform activities in support of Customer Service team, including, but not limited to: correspondence, customer orders and inventory tracking. Train, explain tasks, and assist in the solution of problems for Customer Service Assistant. Work closely with Production Team on lead times. Execute data entry with precision and attention to detail. Prepare customer quotes and process sheet orders. Responsible for organization of all customer estimates and purchase orders, including updating estimates, pulling existing estimates for bid process, pricing, projects and CSR request, and returning all documents according to the current filing system. Sustain professional e-mail interaction and phone correspondence with customer base. Provide back up to ensure phone calls are redirected accordingly and inquiries are referred to the correct personnel. Develop professional and technical expertise by continuously developing knowledge of product line, prices, delivery time, drop ship items and similar data as required. Understand inventory levels by verifying stock Prepare purchase orders by verifying specifications and price Purchase items by forwarding orders to suppliers Monitor and expedite orders Verify receipt of items by comparing items received vs. items ordered Perform and assist with all other duties as assigned by Director of Customer Service. QualificationsQualifications & Requirements: Customer service driven and focused. Strong computer skills and knowledge of Microsoft Office Suite. Able to multi-task under pressure and exhibit organizational skills. Acute attention to detail. Ability to build and maintain partnerships with customers. Self-starter with ambition to take on additional responsibilities. Excellent phone etiquette and demonstrates exceptional verbal communication skills. Punctual and able to work with minimum supervision. Corrugated experience preferred or a strong desire to develop corrugated industry knowledge. High school education or equivalent, Bachelor’s Degree preferred.
