About The Position

This position begins primarily with order entry tasks and gradually expands into more complex customer support and account management responsibilities as you grow within the role. You will start by answering incoming calls promptly, maintaining accurate account information, and working collaboratively with team members to achieve company goals.

Requirements

  • 1-2 years of experience in order entry or processing purchase orders.
  • Proficiency with ERP systems; familiarity with Epicor is beneficial but not required.
  • Proficient in Microsoft Office, specifically Excel and Outlook.
  • Strong customer service skills and experience in order processing.
  • Excellent administrative support and data entry skills.

Nice To Haves

  • Experience in the hospital or medical device industry is a plus.

Responsibilities

  • Answer incoming calls by the third ring.
  • Maintain and update accurate account information in the system.
  • Collaborate with team members to achieve company objectives.
  • Identify and suggest improvements to departmental procedures.
  • Address workplace issues proactively.
  • Receive and enter customer orders into the system.
  • Inform customers of backorders and substitutions.
  • Follow up on backorders and open orders.
  • Implement actions to remedy losses and encourage positive outcomes.
  • Maintain organized paperwork for open orders.
  • Notify customers of contract expirations and price changes.
  • Enter new customer information into the system.
  • Check inventory and anticipated production to set expected ship dates.
  • Communicate order acknowledgements via email or fax to customers.
  • Resolve customer inquiries related to finished goods inventory.
  • Print open order reports weekly and select orders to ship.
  • Determine the necessity for partial shipments.
  • Prepare packing slips for logistics staff.
  • Confirm pricing agreements with Territory Managers via email or fax.
  • Assign RGA numbers and process returns for customers.
  • Manage the main phone line, route calls, and take messages.
  • Receive and route incoming mail, emails, and faxes.
  • Generate letters and fax correspondence as requested.
  • Perform additional administrative duties as assigned by management.
  • Contribute to team efforts by completing assigned projects.
  • Communicate effectively with production, purchasing, quality, and management.
