About The Position

Grassmaster Plus, Inc. has been providing Full-Service Lawn, Plant Health Care, and perimeter pest control for clients in the North Shore and Metro North since 1980. We are seeking a highly organized and customer-focused Customer Service Administrator to join our team. This role is essential in providing exceptional customer service, managing administrative tasks, and ensuring the smooth operation of daily activities. The ideal candidate will excel in handling a multi-line phone system, assisting with accounts receivable, and supporting general office functions with accuracy and attention to detail. This is an on-site position located at our office in Georgetown, MA, with a work schedule from 8:30 AM to 5:00 PM, Monday through Friday.

Requirements

  • Strong communication skills, both written and verbal.
  • Exceptional attention to detail, problem-solving skills and multitasking ability.
  • Ability to handle a high volume of phone calls and customer inquiries.
  • Proven ability to build and sustain customer relationships.
  • Strong organizational and time management skills.
  • Proficiency in office equipment and software, particularly with a CRM and Microsoft Excel.
  • 2+ years of administrative experience, preferably in a customer service or office environment.
  • Proven experience managing a multi-line phone system and handling customer inquiries.
  • Proven experience with data entry, with an emphasis on accuracy and efficiency.
  • Ability to sit for extended periods while working at a computer.
  • Frequent use of hands and fingers to type and handle office equipment.
  • Ability to lift and carry office supplies or documents up to 15 lbs.
  • Occasional walking and standing throughout the office as needed.

Nice To Haves

  • Experience with accounts receivable and collections processes is a plus.

Responsibilities

  • Answer and manage a multi-line phone system, addressing customer inquiries promptly.
  • Review and respond to voicemails each morning, ensuring timely follow-up.
  • Monitor and promptly respond to emails through Outlook, ensuring timely communication and resolution of inquiries.
  • Maintain clear and consistent communication within the internal team to ensure customer requests are addressed and scheduling needs are met efficiently and accurately.
  • Build and maintain strong customer relationships through professional communication and service.
  • Accurately import data into HubSpot and perform general administrative tasks, such as filing and mail processing.
  • Assist with accounts receivable, including payment processing, invoicing, and collections.
  • Manage office supplies and ensure proper functioning of office equipment.
  • Support marketing tasks and maintain an updated client contact database.
  • Coordinate service scheduling and maintain effective communication with customers regarding updates.
  • Post completed production and update technician notes at the end of each day.
