About The Position

YOU can be the first step in someone’s path to Training and Success. Join Maine Department of Labor’s Competitive Skills Scholarship Program (CSSP) Team in a part-time (34 hr/week) position. Play a key role in helping individuals access training opportunities by providing administrative and eligibility support. You will process electronic application submissions, exercise independent decision-making, and use your strong attention to detail and organizational skills to ensure each file is accurate, complete, and prepared for case manager review.

Requirements

  • Ability to understand, explain, and apply applicable rules, regulations, policies, procedures, paperwork, and terminology.
  • Knowledge of programs and resources that have a compliance or eligibility component.
  • Ability to track documents for follow-up action.
  • Ability to interview and counsel individuals.
  • Ability to interact with a diversified customer base.
  • Ability to communicate effectively.
  • Ability to write clearly and effectively.
  • Training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a solid knowledge of the principles and practices of quality customer service to perform complex work in assisting the public with applications, fees, examinations, or social services that have an eligibility or compliance component; and 2) the ability to use independent decision-making on the appropriate processes to follow, information to process, and actions to take in accordance with standard procedures.
  • All positions in this classification assume the qualifications of: Customer Representative Assistant I, Customer Representative Assistant II and Customer Representative Associate I.

Responsibilities

  • Review applications for accuracy, completeness, and compliance
  • Communicate with applicants via email, phone, or system messaging to request and clarify required documentation
  • Track the receipt and status of documentation within the electronic case management system
  • Obtain financial information and perform calculations to determine household income
  • Prepare and issue eligibility determination letters electronically
  • Organize and prepare applicant files and documentation for assignment to Case Managers
  • Maintain accurate and timely electronic records in accordance with program requirements and confidentiality standards
  • Manage multiple files and deadlines in an electronic environment
  • Comfort working with electronic databases and document management systems
  • Proficient in Microsoft Teams, Word, Outlook, and Excel, with experience utilizing Interpreter Services
