About The Position

We are looking for a driven, highly organized, and detail-focused professional to join our team as an Customer Fulfillment & Office Manager. In this role, you’ll play a key part in overseeing operations while managing daily office administration, offering a unique opportunity to make a meaningful impact on our team’s success.

Requirements

  • Excellent organizational and multitasking abilities.
  • A commitment to quality, efficiency, and continuous improvement.
  • Previous experience in an administrative or customer service role, preferably in an e-commerce or manufacturing environment.
  • Strong computer skills, including proficiency with QuickBooks Online and Microsoft Excel.
  • Familiarity with e-commerce platforms such as BigCommerce, Amazon, Shopify, or Wix.
  • Excellent customer service skills with the ability to empathize and resolve issues.
  • Strong communication skills, both verbal and written.
  • Good troubleshooting and problem-solving abilities.
  • Proven ability to quickly learn and adapt to new software programs.
  • Capable of lifting up to 30 pounds regularly as part of the inventory restock process.
  • Ability to stand for extended periods and perform repetitive tasks related to order fulfillment.
  • Train and support seasonal packing staff during peak production periods.

Nice To Haves

  • Experience with QuickBooks Online software is a plus.

Responsibilities

  • Order Management: Retrieve and manage orders from BigCommerce and Amazon, pack orders for shipment, and print shipping labels using XPS Software.
  • Customer Service: Respond to customer inquiries via phone and email, assist with order placement and troubleshooting, and manage product availability and shipping information.
  • Inventory Management: Monitor and update stock levels on Amazon and BigCommerce to maintain accuracy across platforms. Manage inventory for both manufacturing and café operations. Secure approval for reordering, then coordinate with suppliers to place restock orders efficiently.
  • Invoicing: Create invoices in QuickBooks Online for phone orders and manage other administrative financial tasks.
  • Administrative Support: Handle office communications, answer phones, and perform other essential administrative tasks.
  • Team Leadership: Foster a supportive and efficient work environment where team members have the tools and guidance needed to thrive. Serve as an operational backup to the General Manager, assisting with personnel management duties as needed.
  • Strategic Growth & Innovation: Participate in strategic planning with the General Manager and President, contributing ideas to enhance operational efficiency and drive business growth.
